Job Summary:

The Property Coordinator is responsible for providing support to the Property Management Team with regards to Site Condition Management, Stakeholder and Supplier management, Risk & Regulatory Management, Project Revenue & Financial Management, Administration & Reporting, and Occupancy & Lease management.

Responsibilities:

  1. Monitor deadlines and provide notices to appropriate parties.
  2. Handle commercial, residential, and villa contracts.
  3. Prepare and issue lease agreements immediately upon receiving PM approval/request from tenants.
  4. Prepare NOCs, presentations, draft letters, memos, and send out emails as requested by the Head of Department or tenants.
  5. Prepare EJARI for tenants.
  6. Send renewal notices to tenants 90 days prior to expiry.
  7. Monitor arrears and follow up with tenants as necessary.
  8. Prepare and issue lease renewals in accordance with policies and procedures.
  9. Prepare termination/expiry letters as required.
  10. Inform the concerned team/department of tenant move-ins and move-outs.
  11. Prepare legal cases for presentation to the Head of Department or Legal team.
  12. Coordinate with the Legal Department to stamp new and renewed leases.
  13. Prepare and issue tax invoices for commercial tenants.
  14. Arrange meeting schedules for the Commercial Manager with tenants/prospective clients.
  15. Answer phone calls, call tenants, assist tenants, and request required documents from tenants.

Requirements:

  1. High school diploma or equivalent; associate or bachelor's degree in a related field is a plus.
  2. Proven experience in administrative or property management roles.
  3. Exceptional organizational and time management skills.
  4. Strong attention to detail and accuracy in record-keeping.
  5. Excellent written and verbal communication skills.
  6. Proficient in using property management software and Microsoft Office Suite.
  7. Knowledge of local property management regulations and best practices.
  8. Ability to work both independently and collaboratively as part of a team.
  9. Customer service-oriented with the ability to handle tenant inquiries and complaints professionally.
  10. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
