- CalendarManagement : Managing calendars for lawyers or legalteams, scheduling meetings, appointments, and court appearances,and coordinating travelarrangements.
- DocumentManagement : Organizing, filing, and maintaininglegal documents, both digitally and physically. This includeskeeping track of case files, evidence, correspondence, and legalresearch materials.
- CreatingReports & Briefs : Drafting and formattingdocuments, including legal reports, client communications, andother administrativepaperwork.
- FilingSystems : Developing and maintaining filing systems,whether paper-based or electronic, for easy access to criticaldocuments.
- LegalCorrespondence : Drafting, reviewing, and editingletters and emails on behalf of lawyers, communicating withclients, courts, and other parties involved in legalproceedings.
2. ClientInteraction &Communication
- ClientLiaison : Acting as a point of contact betweenclients and lawyers, answering client inquiries, schedulingappointments, and managing clientcommunication.
- TelephoneHandling : Answering and directing phone calls,taking messages, and providing timelyfollow-up.
- ClientUpdates : Providing clients with status updates,reminders about meetings, and other relevant information regardingtheir cases or legal matters.
3.Document Preparation &Drafting
- LegalDocument Drafting : Assisting in the preparation andformatting of legal documents, including contracts, letters,briefs, and court documents. While the Legal PA doesn'ttypically draft complex legal content, they may assist with simpletemplates or standard legalforms.
- Proofreading &Editing : Reviewing and proofreading documents forerrors or omissions, ensuring that all correspondence and legaldocuments are clear, accurate, and consistent with legalpractices.
- DocumentProduction : Organizing and assembling documents forlegal filings or hearings, including binding and organizingexhibits or evidence for courtproceedings.
4. TimeManagement &Organization
- Prioritization :Managing multiple tasks and competing priorities for the legalteam, ensuring deadlines are met and that urgent matters areaddressed first.
- MeetingPreparation : Preparing agendas for meetings, takingminutes during legal proceedings, and distributing materials aheadof time.
- TaskTracking : Using project management tools or tasklists to track and ensure the timely completion of ongoing tasksand projects.
5.Billing &Invoicing
- Timekeeping :Tracking time spent on specific legal matters and client projectsfor billing purposes, ensuring that all billable hours are recordedaccurately.
- Invoicing &Payments : Assisting with the preparation andsubmission of invoices to clients, following up on unpaid invoices,and managing any related billingqueries.
6. LegalResearch & CaseSupport
- ResearchAssistance : Performing basic legal research, such aschecking case law databases, reviewing legal precedents, orgathering information forbriefs.
- CaseManagement : Assisting with the case managementprocess by organizing case files, keeping track of deadlines, andensuring that all necessary paperwork is filed and updated in atimely manner.
7. Court& Legal ProcedureSupport
- CourtFilings : Assisting with court filing procedures,preparing court bundles, ensuring documents are filed correctly andon time, and coordinating any necessary logistics for courtappearances.
- LegalDeadlines : Keeping track of important legaldeadlines, including court hearings, filing dates, and submissiondeadlines for legal briefs and documents.
The Legal PA must be able to performvarious administrative duties, drafting documents, proof-readingdocuments, putting together PowerPoints, organising and attendingmeetings and taking minutes.
This role will also collaborate with thePartners and Finance Team, responsible for monthly billings andwill also support the Business Development Team to assist inevents, pitches, marketing and carry out any adhoc duties whererequired.
To be consideredfor this role, the successful candidate will have experienceworking within a busy, corporate environment. The ideal candidatewill have a professional and personable approach with attention todetail and exceptional organisational skills, with eagerness togrow.
The ideal candidatewill have strong verbal and written communication skills in Englishand be fully IT literate in Microsoft Word, Excel and Outlook andwill be fully competent in legal software such as 3Elite. FurtherEducation in the related field is preferred.
