  • Create and Develop yearly PreventiveMaintenance schedules as required to upkeep theequipment/facilities of assigned operational areas in optimumoperational condition at all the times with minimizeddowntime.
  • Act as the direct customer-facingrepresentative of the assigned building or geographical operationalarea in dealing with the customer for day-to-day operationalrequirement.
  • Attending to client daily, weekly,monthly meetings as required, find meaningful remedial/correctiveactions when responding to client complaints this includes visitingand discussing with the client/end user of his/herdissatisfaction/comments. Escalate maters beyond the operationalresponsibility to top management.
  • Theproduction of the periodic progress reports as required and agreedwith the board members.
  • Design and developoperational procedures taking into account health and safety,quality and environment concerns.
  • Co-ordinatewith the supervisory staff to execute the Preventive Maintenance,cleaning schedules, security management plan and crisis managementplan.
  • Periodic site visits to ensure the workis executed as per the time and within allocated budget meetingbest industry practices.
  • Ensuring that allsub-contracted staff used on operational delivery are approved andcompetent for the specific tasks.
  • Maintenanceof a safe working environment for all staff and subcontractorsengaged by the company and fully aware of EHSprocedures.
  • The review of estimates/proposalsas required for service contracts/refurbishment projects orvariations.
  • Fully responsible for ensuringproper surveying, preparing of snag reports, taking over andmanaging DLP and warranties of all new facilities falling withinthe assigned building or geographical operationalarea.
  • Fully responsible for implementing auditsof contract performance of assigned building or geographicaloperational area from a technical perspective; add value to thecontract through conducting maintenance reviews, trend analysis andidentifying prevention solutions including energy management.Contributing to continuous improvement and drive for value formoney.
  • Fully responsible for ensuring theavailability of staff at all the times for schedule works andemergency requirements meeting the required service deliverylevels.
  • Ensure availability of all requiredminimum stock levels of parts and materials at all the timesdelivering the services with minimizeddowntime.
  • Ensure annual staff leave schedule inplace for coming periods.
  • Fully responsible forensuring timely delivery of ageing reports, collections to theboard.
  • Fully responsible for presenting themonthly and yearly P&L to theboard.
  • Organize the Monthly/quarterly meetingsand AGMs.
  • Prepares analytical reports oncollections and expenditures to be included in the AGM presentationin coordination with Finance Department.
  • Fullyresponsible for the coordination and review of fit out works inhis/her assigned buildings.
  • Implements measuresas approved by management and the board to improve collection ofservice charges in coordination with the collectionteam.

1.FacilitiesManagement

  • Strongunderstanding of building systems and operations such as HVAC,electrical systems, plumbing, andelevators.
  • Knowledge of maintenance schedules,repairs, and preventive maintenance practices to keep facilitiesrunning smoothly.
  • Ability to manage spaceplanning and office layouts, ensuring optimal use of availablespace.

2. ProjectManagement

  • Ability tooversee facility-related projects, including renovations,relocations, or upgrades to facilities.
  • Strongorganizational skills to manage timelines, budgets, and resourcesfor various facilities-relatedprojects.
  • Experience in coordinating betweendifferent departments, contractors, and vendors during projectexecution.

3. Vendorand ContractorManagement

  • Strongnegotiation and communication skills for managing relationshipswith external service providers, contractors, andvendors.
  • Ensuring that contracts are adheredto, services are delivered on time, and any issues are resolvedpromptly.
  • Reviewing and managing service levelagreements (SLAs) with vendors andcontractors.

4. Healthand SafetyCompliance

  • Knowledge ofhealth, safety, and environmental regulations that impactfacilities management.
  • Ability to implementsafety protocols and ensure compliance with local, state, andfederal laws regarding building codes, fire safety, andenvironmental standards.
  • Conducting regularsafety audits and inspections to identify potential hazards andmitigate risks.

  • Strongfinancial acumen to manage and track the budget for facilitiesoperations, including repairs, maintenance, utilities, andprojects.
  • Identifying cost-saving opportunitieswithout compromising on quality orsafety.
  • Experience in forecasting and managingcosts associated with facilityoperations.

6.Problem-Solving andTroubleshooting

  • Abilityto identify and address issues related to building maintenance oroperations quickly andefficiently.
  • Troubleshooting equipmentfailures, facility issues, and employee concerns related to thephysical work environment.
  • Thinking on yourfeet to ensure the building runs smoothly, especially duringemergencies or unexpectedsituations.

7.Communication andTeamwork

  • Ability tocommunicate effectively with internal teams, senior management,external vendors, andcontractors.
  • Collaborating withcross-functional teams (e.g., HR, IT, Operations) to ensure thatfacility operations align with the overall needs of theorganization.
  • Providing clear reports onfacilities performance, maintenance schedules, and any issues thatarise.

8. TechnicalProficiency

  • Familiaritywith computer-aided facilities management (CAFM) software likeArchibus ,FM:Systems , orPlanon .
  • Experiencewith building management systems (BMS) to monitor and controlbuilding systems such as HVAC, lighting, andsecurity.
  • Knowledge of energy managementsystems to improve sustainability and reduce energyconsumption.
