The Order Desk Specialist ensurestimely and efficient delivery of goods or services whilemaintaining accurate records and resolving related issuesprofessionally.
This role requiresgathering and verifying purchase request details providing productavailability updates confirming pricing and ensuring orderaccuracy. Additionally the specialist will address inquiries handlecomplaints and resolve discrepancies effectively to support smoothoperations.
KeyResponsibilities:
- Createand manage purchase orders ensure invoices are acknowledged andsecure necessary approvals while following up on pending actionswhen needed.
- Ensure invoices areissued promptly to facilitate seamless order processing andpayment.
- Maintain an invoice statusreport monitor order dispatch payment acknowledgment and overseeproper closure of orders.
- Accuratelydocument and update data including payment methods quantitiesprocured and supplier details usingZoho.
- Address disputes anddiscrepancies related to invoices by collaborating with clients andinternal teams for timelyresolution.
- Maintain systematic andsecure documentation of all invoicing activities to ensure accuraterecords for audits and easy retrieval whenneeded.
- Ensure all documents arestored archived and securely maintained in the recordroom.
- Bachelors degree in Business Administration Business Management or arelated field; or a Diploma/Associate degree in a relevantdiscipline.
- Minimum of 2 years ofexperience in Logistics Freight Accounting or VATrelatedindustries.
- Prior experience inhandling invoices and purchase orders isessential.
- Basic to intermediateaccounting skills or a willingness tolearn.
- Excellent verbal and writtencommunication skills.
- Proficiency inMicrosoft Office Suite (Word ExcelOutlook).
- Strong attention to detailwith the ability to maintain accuracy in data entry andinspections.
- Familiarity with Zohoor similar management systems is highlypreferred.
