Executive Assistant

We are looking for an experiencedExecutive Assistant to join PropertyFinder on a full time capacity,to support the Chief Financial Officer(CFO).
The ideal candidate will be a proactiveproblem solver with exceptional communication skills and meticulousattention for details. This person should have experience workingin an office environment, performing administrative duties, andproviding support to multiple Senior Leaders. Given the dynamicnature of the executive landscape, we rely on executive assistantsto be flexible and consistent while maintaining the confidentialityof high-level systems andoperations.
KeyResponsibilities
- Support the CFO and at times otherexecutive team members, as directed, to ensure that company goalsand objectives are accomplished and that operations runefficiently.
- Maintain and refine internalprocesses that support high-ranking executives companywide, andcoordinate internal and external resources to expediteworkflows
- Manage communication with employeesby liaising with internal and external executives on variousprojects and tasks
- Plan and orchestrate work toensure that senior executives' priorities are met,organizational goals are achieved, and best practices areupheld
- Manage professional and personalscheduling for CFO, including agendas, email, phone calls, clientmanagement, and other companylogistics
- Coordinate complex scheduling andcalendar management, as well as content and flow of information tosenior executives
- Manage seniorexecutives' travel logistics and activities, includingaccommodations, transportation, andmeals
- Provide administrative and officesupport, such as typing, dictation, spreadsheet creation, creatingpresentations and maintenance ofsystems
- Maintain professionalism and strictconfidentiality with all materials
- Organizeteam communications and plan events, both internal andoff-site
Desired Qualifications& Experience
- At least 3-4 years administrativeexperience managing multiple Executives
- UAEexperience is preferred but not a must
- Strongproficiency in English (verbal and written)
Time Management andOrganization
- Ability toefficiently manage multiple tasks, prioritize responsibilities, andmeet deadlines.
- Strong organizational skills tohandle scheduling, planning, and managing the day-to-day operationsof the executive'soffice.
Calendarand TravelManagement
- Managing theexecutive's calendar, including scheduling meetings,appointments, and conferences.
- Booking andcoordinating travel arrangements, including flights, hotels, carservices, anditineraries.
CommunicationSkills
- Strong verbaland written communication skills for handling correspondence,taking calls, and interacting with clients, team members, andstakeholders.
- Crafting professional emails,reports, and other written communication on behalf of theexecutive.
ProblemSolving and DecisionMaking
- Ability to thinkcritically and provide solutions to problems that may arise, oftenwith little guidance.
- Proactive approach tomanaging tasks and anticipating needs before they becomeurgent.
DiscretionandConfidentiality
- Handlingsensitive information with discretion and ensuring confidentialityat all times.
- Trustworthiness in dealing withprivate, business-critical, and financialmatters.
Eventand MeetingCoordination
- Organizinginternal and external meetings, conferences, andevents.
- Preparing materials and presentationsfor meetings, as well as managing logistics like catering, venues,and technologysetup.
OfficeAdministration
- Managingoffice supplies, documents, and other administrative tasks toensure the executive's office runssmoothly.
- Familiarity with office equipment,document management systems, andsoftware.
Tech-Savviness
- Proficiencyin office software like Microsoft Office (Word,Excel, PowerPoint) or GoogleWorkspace .
- Familiarity withcommunication tools such as Slack ,Zoom , or MicrosoftTeams .
- Comfortable learning andusing enterprise systems (e.g.,Salesforce , CRMsoftware ).
ProjectManagement
- Coordinatingand supporting special projects and initiatives as required by theexecutive.
- Managing deadlines, trackingprogress, and keeping teams informed of projectstatus.
ClientRelations and StakeholderManagement
- Buildingstrong relationships with key clients, partners, andstakeholders.
- Handling communications on behalfof the executive with tact andprofessionalism.
