TheOpportunity

This role supports the UAEExecutive Leadership and the Director of Finance and Biz Operationsand ensures that the office operations meet our business andhospitality needs. This role is based in Abu Dhabi and will berequired to be inoffice five days per week.

Thisrole ensures that the infrastructure and systems required for SYPAD leadership and teams are in place to do their best work. Theywill gain an understanding of SYPartners business philosophy andapproach to work. The performance and actions of the ABP are highlyvisible and have significant impact on the leadership and teamsthey support and therefore on SYPartners as a whole. The idealcandidate for this role demonstrates strategic thinking a deepunderstanding of systems shows empathy poise discretion and is aproactive team player in every way.

This role also understands the nature of SYPs businessphilosophy and approach in order to ensure that the office spaceand its daytoday operations meets business and hospitality needsfor project teams client and guest visits and our own staffs needs.This role maintains the office appropriate to SYPs culture inspiredby the GuestHost Relationship and in partnership with other teamsand functions. The Office & Admin BP actively identifies andanticipates needs solving problems proactively and innovatively todesign seamless customerexperiences.

How You ll DriveImpact
Administrative Support

Schedule meetings and managecomplex calendars for the UAE Leadership Team) (who own entirebodies of work and/or business units and manage multiple projectsclient relationships and numerous SYP teams at alltimes).

Manage and book the Leaderships/teamstravel and her/his/their extended teams travel in collaborationwith the appropriate staff member as necessary.

Communicate regularly and openly with Leaders/team to ensure theyare apprised of changes to their calendars or to the work of theirteams.

Submit timesheets and expense reportsfor the Leadership team.

Keep theExecutive(s)/team organized with meeting materials and immediatepriorities (who needs what by when); this may include inboxmanagement and communication/response strategies.

Proactively ensure that the Leader and/or team has thetime resources and/or materials needed to accomplish their goalsand those of SYP. Take initiative if extra coordination ormaterials are needed.

Remain connected to theSYP Admin Team in the US to follow similar processes and maintainstandards of support.

This role would supportnonlocal leaders and SYPs when traveling to the UAE with travelscheduling meetings booking conference rooms and supporting clientmeetings etc.

Support scheduling of talentrecruitment interviews for the UAE team

Runprojectrelated errands in coordination with PM team and teammembers as needed

Actively engages indeveloping crosstraining/collaboration acrossdisciplines.

Office Management& Hospitality Services

Onboarding to the space :oversee the onboarding/offboarding process for new hires providingtours of our space and facilities and informing on general officeprotocols and tools.
Hospitality andsupport for our people : provide hospitality servicesfor our employees and clients/guests such as stocking the pantryoutgoing shipping packages and labels client meeting supportgreeting clients/guests and creating a welcoming experience foreveryone.
Office management :ensure the smooth functionality of the space by regularly checkingthe conference rooms tidy of the space reference materials archivematerials office repairs as needed upgrades to the space whenapproved cleaning service building coordination for servicesetc.
Vendor management: track all vendors connected to running the space andensure we have a great level of service and payment isprocessed.
Remainconnected to the Ops team in the US to follow similar processes andmaintain the same level of hospitality standards and support foremployees and clients. Additionally the Ops team should haveresources to cover this role when out onvacation/sick.

Basic on the ground IT support for conference room tech wifi andlaptop connection.
Familiar with macOS and GSuiteservices and basic understanding of wireless networks zoom and A/Vequipment.
Work with the SYP Enterprise Technology teamto manage laptop inventory and run initializations for starts/exitsof employees.

Qualifications

3 to 5 years of executiveassistant experience (including at least 2 to 3 years offormal
Executivelevel support) in a fastpaced executiveoffice ideally within a management consulting or creativeagency
Proven ability to collaborate in an administrativeteam environment
Exceptional judgment
Excellentwritten and verbal skills
A friendlycustomerserviceoriented approach
