Document Controller Job Description

GHD is seeking a skilled Document Controller to join our team. As a Document Controller, you will play a critical role in ensuring the smooth operation of our document management processes.

Key Responsibilities:
  • Document Initiation and Tracking: Initiate and manage the documentation protocol at project start, working closely with the Project Manager/Resident Engineer to ensure timely and accurate documentation.
  • Correspondence and Reporting: Prepare correspondence for the project and construction management team, including flowcharts, draft letters, and meeting minutes.
  • Document Management: Lead the tracking and monitoring of documents using standard document management programs, registering documents, maintaining databases, and producing logs, transmittals, and reports as required.
  • Document Processing: Process one or more document types through all procedural steps in accordance with well-defined procedures and guidelines, ensuring that pre-established document control requirements are met.
  • Document Distribution and Archiving: Maintain an established data distribution system and schedule for the assigned project, expediting review, signature approval, and release of supplier and internally produced documents.
  • Support and Training: Assist junior document control staff to ensure effective implementation of project-specific procedures and provide training as needed.
  • Quality and Compliance: Ensure that reference materials (codes and contract documents) are accurately maintained in the Technical Library and perform other responsibilities associated with this position as may be appropriate.
