Administrative Support Specialist for Financial Operations

Key Responsibilities:

  • Manage and maintain the Director of Finance's calendar, schedule appointments, and coordinate meetings with internal and external stakeholders.
  • Prepare and organize materials for meetings, including financial reports and presentations.
  • Handle all incoming communications, prioritize emails, and draft letters when necessary, ensuring timely and effective response to inquiries.

Administrative Functions:

  • Prepare and coordinate audit requirements, letters, and confirmations for banks and vendors, ensuring compliance with regulatory requirements.
  • Communicate with banks and prepare bank letters to ensure all information is updated regularly, maintaining accurate and up-to-date records.
  • Act as the primary point of contact with government entities and external stakeholders regarding the Finance department, providing exceptional customer service and support.
  • Responsible for all purchasing requirements for the Finance Department, ensuring efficient and effective procurement processes.
  • Assist the student accounts office during registration, providing support with calls, letters, meetings with parents, and email responses.
  • Manage the AUS Etisalat account and serve as the main contact with Etisalat for all AUS requests, ensuring seamless communication and resolution of issues.
  • Assist new staff in obtaining all required access and office necessities, ensuring a smooth onboarding process.
  • Manage the AUS online telephone extension billing system, ensuring accurate and timely billing and payment processes.
  • Assist accounts payable during the year-end closing period, providing support with financial reconciliations and closing procedures.
  • Provide finance-related system training for new staff, ensuring they have the necessary skills and knowledge to perform their duties effectively.
