The Client of Talentmate is seeking a highly skilled Senior Document Controller to play a crucial role in ensuring the accuracy, currency, and accessibility of all project-related documents. This senior-level position requires a deep understanding of industry standards and procedures.

Key Responsibilities:
  1. Develop and maintain an enterprise-wide document management system that adheres to company and industry standards.
  2. Collaborate with various departments to gather, organize, and file all project-related documents, ensuring seamless information exchange.
  3. Ensure that all documents are properly named, numbered, and categorized for effortless retrieval, thereby minimizing downtime and maximizing productivity.
  4. Regularly audit document control processes to identify areas for improvement and implement changes as necessary to maintain compliance.
  5. Manage the document change control process, updating documentation in real-time as changes occur.
  6. Train and mentor junior document control staff, providing guidance and support to ensure their success.
  7. Work closely with project managers and team leads to coordinate document workflows and deadlines, guaranteeing timely delivery.
  8. Oversee the distribution of documents to relevant parties, ensuring prompt and accurate delivery.
  9. Compile monthly reports on document control activities, analyzing trends and recommending improvements.
  10. Stay abreast of industry standards and best practices in document control, implementing updates as needed to maintain compliance.

Qualifications:

  1. Bachelor's degree in Business Administration, Finance, or a related field.
  2. 5 years of experience in document control, preferably in a senior role.
  3. Knowledge of document control standards and regulations (ISO, API, etc.).
  4. Excellent organizational and time-management skills.
  5. Strong attention to detail and accuracy.
  6. Proficiency in MS Office and document management systems.
  7. Ability to work well under pressure and meet tight deadlines.
  8. Excellent communication and interpersonal skills.
  9. Self-motivated and able to work both independently and in a team environment.
