Role Overview

The Facilities Operations Specialist will be responsible for overseeing the daily operations of our facilities, ensuring a seamless working environment for all staff members.

Key Responsibilities
  • Daily Facilities Management: Address and manage daily requests from employees regarding equipment repairs and special orders.
  • Equipment Maintenance: Ensure the functionality of office equipment through preventive maintenance, troubleshooting issues, coordinating repairs, and monitoring equipment performance.
  • Inventory Control: Schedule regular disposals and maintain precise inventory records of assets, conducting counts as necessary.
  • Systems Oversight: Maintain essential office systems and equipment, including audiovisual tools in meeting rooms, HVAC systems, and alarm systems.
  • Vendor Relations: Establish and nurture effective working relationships with property managers, building contractors, and selected facilities service providers. Oversee and maintain office documentation.
  • Project Management: Lead and execute projects related to the Dubai Office, collaborating with local governing bodies.
  • Administrative Coordination: Plan and coordinate administrative tasks, including managing office reception during staff absences.
  • Space Management: Oversee the allocation of office space and plant resources.
  • Additional Duties: Perform other administrative tasks as assigned by the Corporate Services Manager.
  • License Coordination: Liaise with relevant authorities for license renewals and other necessary processes.
Qualifications
  • Minimum of 4 years of experience in a related role.
  • Ability to work independently and make informed decisions.
  • Strong organizational skills with a sense of urgency and the ability to prioritize tasks effectively.
  • Proficient in Microsoft Excel, Word, and PowerPoint.
