Job Summary

We are seeking a highly organized and proactive Operations Executive to join our team at Talent Pal. The successful candidate will be responsible for overseeing operations related duties for our Fujairah office, including monitoring terminal cargo sales, purchases, and barge logistics. This role requires close coordination with various suppliers, customers, terminals, and inspections companies to support the entire supply chain and ensure full responsibility for all post-trade activities.

Main Responsibilities

  • Coordinate with counterparties, including shipping agents, cargo suppliers/customers, surveyors, and cargo traders, to ensure smooth operations.
  • Provide timely notice of potential issues to trading teams and proactively seek solutions.
  • Stay up-to-date with industry news and developments.
  • Ensure compliance with local customs procedures.
  • Proactively chase vessels ETA, cargo documents, invoices, and other relevant documentation from all parties involved.
  • Advise on port dues, calling costs, and other related expenses at the point of quoting and ensure correct invoicing.
  • Ensure Bunker Delivery Notes, invoices, and other relevant documentation are promptly actioned, checked, and verified.
  • Organize a supply schedule for the relevant regions, aiming to supply as much product as safely as possible in the minimum amount of time, while mitigating bunker delays.
  • Provide timely updates of vessels to be supplied to all parties involved.
  • Minimize barge idle time by informing and liaising closely with supply traders to proactively manage the best time to fix prompt volume.
  • Utilize reactive reports to assist the supply team in mapping demand and lead generation for sales teams.
  • Ensure all parties in the supply chain are aware when product availability is nearing exhaustion or product segregation is required, or create ullage in shore tanks and meticulously manage barge ullages when there is low product availability.
  • Organize and monitor daily terminal/loading operations.
  • Support local and worldwide traders within the company.
  • Ensure correct and timely updates in the trading application (PTA) for all operations.
  • Adhere to all procedures/processes and policies regarding the usage of Company information systems, including CRM, trips, trading platform, expenses, and leads.
  • Knowledge of Customs Regulations that apply in the United Arab Emirates and Mauritius.
  • Problem-solving and being dynamic to an intricate supply schedule where uncontrollable variables impact barges availability.
  • Closely coordinate with all other departments, including fleet management & shipping ops for daily operations, Finance teams, system teams.
  • Knowledge of technical & maritime matters, SIRE & oil majors approvals for the barges, working closely with Fleet Department Management.
  • Manage barges supply schedules around mandatory surveys, maintenance, repairs to minimize the impact to the supply schedules.
  • Closely coordinate with ship brokers for FOB cargo position in case any.
  • Knowledge of Ships particulars and cargo plan.
  • Knowledge of INCOTERMS and Cargo Contract basis on agreement.
  • Knowledge of Port logistics and Maritime commerce.
  • Proactively work on building good relationships both externally and internally.

Knowledge, Skills, and Experience

  • Business-level English language essential; knowledge of Spanish is desirable.
  • High level of computer literacy, including proficiency in MS Office package and able to work with CRM systems.
  • Confident individual with excellent verbal and written communication skills, persuasive and influential by nature, a highly effective negotiator able to think on your feet.
  • Attention to detail and able to listen and respond effectively to supplier/customer queries, solve problems.
  • High level of commercial acumen, able to think analytically and strategically, and understand the wider business context.
  • Able to work collaboratively as part of a team and towards shared goals but equally able to work independently with a minimal level of supervision.
  • Ambitious, self-motivated, and demonstrating a willingness to continually develop own knowledge and skills.
