Job Summary: The successful candidate will provide administrative support to the VP of Accounting and Directors, ensuring seamless day-to-day operations and facilitating effective communication between departments. Key responsibilities include managing schedules, coordinating meetings, and maintaining sensitive documents. Additionally, this role involves overseeing visa-related processes, drafting documents, and providing executive support in a fast-paced environment.
Main Responsibilities: As an Administrative and Financial Support Specialist, you will be responsible for:
• Coordinating with the Accounts and Procurement teams to ensure timely processing of A/P documents and related financial transactions.
• Collaborating with procurement and finance to maintain accurate records of purchase orders (POs) and track their status.
• Handling license renewals and ensuring all government-related registrations, including DM (Dubai Municipality), are completed on time.
• Facilitating the smooth onboarding of relocated employees in the UAE by acting as a liaison between HR, Finance, and Administration teams.
• Maintaining confidentiality and handling sensitive information with discretion.
• Organizing, structuring, and maintaining sensitive documents, tracking workflows to identify and address bottlenecks.
• Drafting, editing, and proofreading documents, reports, and presentations as required.
• Overseeing visa-related processes via government online services, ensuring compliance with UAE regulations.
Requirements: To excel in this role, you should possess:
• An associate's degree in Accounting, Finance, Business Administration, or a related field (preferred).
• Proven experience in an accounting role or administrative support position.
• Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software (e.g., NetSuite ERP).
• Basic understanding of accounting principles and financial transactions, preferably in the UAE.
• Excellent organizational skills and attention to detail.
• Ability to multitask and prioritize responsibilities in a fast-paced environment.
• Strong written and verbal communication skills.
• Professionalism and discretion in handling confidential information.
• Ability to work independently and take initiative.
