Job Summary:
We are seeking a highly skilled Executive Assistant to support our business operations and project execution. This role involves assisting in project tracking, vendor management, client communications, and documentation, ensuring seamless project execution and business operations.
Key Responsibilities:
- Project Coordination: Assist in project planning, scheduling, and tracking to ensure timely execution, collaborate with internal teams to streamline project workflows and reporting, and monitor project progress and provide status updates to stakeholders.
- Operations & Communication: Serve as a point of contact for clients and vendors, ensuring clear and effective communication, manage vendor coordination, negotiations, and contract discussions, organize meetings, prepare minutes, and follow up on key action items.
- Documentation & Reporting: Create and maintain project documentation, reports, and process workflows, develop presentations, reports, and business documents in MS Office, and ensure all project records and business documents are organized and up to date.
Requirements:
- Proficiency in Microsoft Office (Excel, PowerPoint, Word) is a must, strong communication, coordination, and negotiation skills are also required.
- Ability to manage multiple projects and operational tasks simultaneously, attention to detail, and strong organizational skills are essential.
- Prior experience or knowledge of project management methodologies is a plus, and a Bachelor's degree in business administration, Project Management, or a related field is preferred.
