Job Responsibilities

  • Oversee all aspects of facility management activities from the initiation of new sites to their closure.
  • Support facility management engineers and business units in establishing timely annual maintenance contracts by coordinating with project, procurement, legal, and finance teams.
  • Monitor and follow up on quotes, materials, and necessary arrangements to assist supervisors with daily operational needs.
  • Ensure timely preparation and submission of purchase requisitions in accordance with purchasing guidelines, while actively following up with procurement on order statuses.
  • Facilitate advance payments and cheque requests promptly with the finance team, ensuring timely payment releases.
  • Organize required documentation for the invoicing process, including arranging and distributing invoices to relevant supervisors and taking necessary actions for urgent requirements.
  • Confirm receipt of goods and services with the operations team and process goods receipt notes on SAP and P2P systems.
  • Coordinate with service providers, procurement, legal, and other relevant teams to finalize annual maintenance contracts and service agreements.
  • Maintain an organized documentation system for effective storage and retrieval of information related to work orders, purchase orders, maintenance contracts, service agreements, invoices, and customer acknowledgments.
  • Possess knowledge of the local market regarding materials and suppliers, demonstrating strong negotiation skills and effective management of purchasing procedures.
  • Develop and maintain an updated approved vendor list for efficient material sourcing.
  • Prepare petty cash vouchers for facility management engineers and submit overtime sheets for payroll approvals.
  • Update all necessary trackers and submit weekly reports to the line manager, including store opening trackers, maintenance contract trackers, and daily work updates.
  • Process incident reports for insurance claims related to property damage.
  • Provide information on insurance claims and financial statements related to workers and vacant properties.
  • Maintain manual records for job costs and personnel properties.

Skills and Experience Required

  • Proven experience in facility management within the retail sector.
  • Ability to manage vendor quotations and invoices effectively.
  • Strong background in driving digital transformation initiatives.
  • Experience with SAP or Oracle systems is a plus.
