Front Office Support Specialist

We are seeking a highly motivated and organized individual to join our team as a Front Office Support Specialist. In this role, you will provide administrative support to our team members and contribute to the overall success of our organization.
Responsibilities:- GREETING AND WELCOMING: Greet and welcome guests as they arrive at our office, providing them with a warm and inviting atmosphere.
- VISITOR DIRECTION: Direct visitors to the appropriate person or meeting rooms, ensuring that they reach their destination efficiently.
- PHONE CALL HANDLING: Answer, screen, and forward incoming phone calls in a professional and courteous manner.
- RECEPTION AREA MAINTENANCE: Maintain the reception area, ensuring that it is tidy and presentable, with all necessary stationery and materials readily available.
- INFORMATION PROVIDING: Provide basic and accurate information in-person and via email or phone to our clients and visitors.
- MAIL AND DELIVERY DISTRIBUTION: Receive, sort, and distribute daily mail and deliveries in a timely and efficient manner.
- SECURITY PROCEDURES: Follow safety procedures and control access via the reception desk, monitoring the logbook, and issuing visitor badges as needed.
- SUPPLIES PROCUREMENT: Order front office supplies and maintain an inventory of stock to ensure that we have what we need when we need it.
- EXPENSE RECORDING: Keep updated records of office expenses and costs, ensuring accuracy and transparency.
- CLEARCLERICAL TASKS: Perform other clerical receptionist duties such as filing, photocopying, and transcribing as required.
- QUALIFICATIONS: A graduate degree in a relevant discipline is preferred.
- EXPERIENCE: Minimum 2 years of experience in a Customer Service function is required.
- COMMUNICATION: Excellent communication and interpersonal skills are essential for success in this role.
- PERSUASIVENESS: Patience, persistence, and persuasiveness are key qualities for building strong relationships with our clients and stakeholders.
