Role Overview:
As a Facilities Operations Specialist at Duserve, you will play a crucial role in ensuring the smooth functioning of our facilities management services. Your responsibilities will encompass a variety of tasks aimed at supporting the maintenance team and enhancing operational efficiency.

Key Responsibilities:
  • Safeguard the confidentiality of all client and employee information while providing assistance to the maintenance team in managing active requests and scheduled work orders.
  • Utilize the service desk system to initiate purchase orders and process relevant invoices as necessary.
  • Assess situations and events, determining the appropriate course of action or directing inquiries to the relevant personnel for resolution.
  • Engage with employees, customers, suppliers, and visitors, handling correspondence and routine inquiries effectively.
  • Assist the Facilities Manager in maintaining supplier matrices and related documentation, while performing general clerical duties such as photocopying, faxing, mailing, and filing.
  • Support the Facilities Manager in managing training records and documentation related to return-to-work/self-certification processes, as well as maintaining inventory for facility management services.
  • Organize and maintain various records, supplies, calendars, schedules, and files, ensuring both confidential and non-confidential materials are accurately documented.
  • Process documents and materials, including bid packages, contracts, specifications, and purchase orders, to disseminate information in compliance with relevant regulations.
  • Respond to inquiries from diverse internal and external parties, facilitating communication and providing necessary information.

Qualifications:
  • A Bachelor's degree or equivalent in mechanical, electrical, or industrial engineering.
  • Membership in a recognized engineering organization, either internationally or locally.
  • A valid driving license in the United Arab Emirates.

Skills and Abilities:
  • Ability to perform multiple tasks while adapting to changing work conditions, including proficiency in operating standard office equipment and relevant software applications.
  • Knowledge of program and district policies and procedures, along with planning and project management skills.
  • Competence in preparing and maintaining accurate records to support operational needs.
