**Job Purpose**:
The job holder will provide data entry and a range of administrative services in order to ensure accuracy and timeliness and tgat day to day operations are carried out in an efficient and effective manner within the department.

**Key Result Areas**:
1. Perform general administrative and clerical support including mailing, scanning, faxing and arrange daily driver schedule

2. Provide administrative service to supervisor to streamline and organize work.

3. Perform data entry job by collecting and entering data in databases and maintaining accurate records for easy and on time retrieval:
a. Compile, verify accuracy and sort information according to priorities to prepare source data for computer entry

b. Review data for deficiencies or errors, correct any incompatibilities if possible and check output

c. Research and obtain further information for incomplete documents

d. Generate reports, store completed work in designated locations and perform backup operations

e. Scan documents and print files, when needed

f. Keep information confidential

g. Respond to queries for information and access relevant files

h. Comply with data integrity and security policies

4. Perform clerical duties including photocopy, process forms, maintain office files and records.

6. Facilitates and liaises with internal communications on awareness campaigns and programs such as HR cascades, Health & awareness sessions, etc

7. Maintain an adequate level of office supplies

8. Performs other duties assigned by the manager / Head of the department.

**Job Context**:
Junior Admin assistants perform routine office support functions in an organization or business. They use telephones, computers, and other office equipment such as scanners and fax machines and provides end to end administrative support to the department.

**Knowledge, Skills & Minimum Experience**:
**Education Qualification**:
Higher Secondary Certificate or equivalent qualification.

**Work Experience**:
Minimum 2 years* experience in a similar administrative assistant role

**Skills**:
3. Good numeracy skills

4. Accurate keyboard skills

5. Knowledge of office management systems and procedures

6. Good inter-personal people skills are important because information clerks deal with the public
