**About Us**:
TWS Legal Consultants is an established law firm in Dubai offering advice on Wills & Estate Inheritance, Family & Divorce Law, Property Conveyancing, UAE Residency, Litigation, Corporate & Company Incorporation in the UAE.
We are seeking an experienced and organized Office Manager to join our law firm, TWS Legal Consultants. As the Office Manager, you will be responsible for overseeing the smooth operations of our office, ensuring efficiency, and maintaining a professional working environment.
**Key Responsibilities**
**Administrative Management**:
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Maintain office supplies inventory and anticipate office needs.
**Human Resources Support**:
- Assist in the recruitment process by posting job openings, scheduling interviews, and conducting initial screenings.
- Coordinate employee onboarding and orientation processes.
- Maintain employee records and ensure compliance with HR policies and procedures.
**Facility Management**:
- Ensure the office premises are clean, organized, and well-maintained.
- Liaise with building management for repairs and maintenance as needed.
- Manage office equipment and ensure functionality.
**Financial Management**:
- Assist in managing office budgets and expenses.
- Prepare and process invoices, expense reports, and other financial documents.
- Coordinate with the finance department for payroll processing and billing activities.
**Client Relations**:
- Serve as a point of contact for clients, visitors, and external partners.
- Handle client inquiries and provide assistance as needed.
- Maintain confidentiality and professionalism in all client interactions.
**Event Coordination**:
- Plan and coordinate office events, meetings, and conferences.
- Arrange travel and accommodations for staff as required.
- Assist in preparing presentations and materials for meetings.
**Compliance and Documentation**:
- Ensure compliance with company policies, procedures, and regulations.
- Maintain and update office policies and procedures manuals.
- Assist in drafting and proofreading legal documents and correspondence.
**Qualifications**:
- Bachelor's degree in Business Administration, Management, or related field. Master's degree or equivalent certification in management or related field is preferred.
- A minimum of 4 years' proven experience as an Office Manager/Administrator, **with at least 2 years of experience in a reputable law firm or legal services based in the UAE, is a must.**:
- Excellent communication and interpersonal skills, with the ability to communicate effectively with clients, colleagues, and external stakeholders.
- Strong organizational and multitasking skills with the ability to prioritize tasks.
- Knowledge of HR processes and procedures is a plus.
- Ability to work independently and collaboratively in a fast-paced environment, with a high level of professionalism and attention to detail.
- Demonstrated commitment to continuous learning and professional development, with a proactive approach to staying updated on legal developments and industry best practices.
- Fluency in English is required; proficiency in other languages would be an advantage.
