HR and Admin Assistant

Perform tasks related to the day-to-day operations of the HR department.
- Record, monitor and ensure that employees’ visas are being applied for and/or renewed on time.
- Perform the end-to-end processing of employee visas in coordination with the PRO and relevant departments
- Record, monitor and ensure that employees are fulfilling other related compliances such as Occupational Health Card (OHC) medical, Basic Food Safety (BFS) Training, and Person-in-Charge (PIC) training as required.
- Process, monitor and ensure up-to-date records of employee leaves.
- Process employee medical insurance addition and deletion.
- Monitor employee attendance.
- Prepare weekly attendance reports and monthly timesheets.
- Assist in payroll functions such as preparing the timesheets, preparing and distributing the pay slip, and others.
- Assist in recruitment as required, such as in screening and shortlisting applicants.
- Prepare the documents for employee onboarding such as new employee forms and create employee files.
- Facilitate new employee onboarding as required.
- Look after the employee welfare and oversee uniform procurement and issuance, employee lockers, maintenance of staff room, and related tasks.
- Assists with planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Process employee requests.
- Provide clerical and administrative support to Human Resources.
- Process documentation and prepare basic reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc).
- Compile and update employee records (hard and soft copies).
- Maintains the integrity and confidentiality of human resource files and records.
- Acts as a liaison between the organization and external benefits providers and vendors.
- Perform tasks related to employee welfare and health and safety.
- Coordinate HR projects (meetings, training, surveys, etc) and take minutes.
- Clarify policies and guide employees regarding human resources issues, rules, and regulations.
- Communicate with public services when necessary.
- Properly handle complaints and grievance procedures.
**Salary**: AED3,000.00 - AED4,000.00 per month
