**POST: Bursar/ECA Coordinator - Safa Community School, Dubai**:
Safa Community School is looking for a Bursar to manage our school invoices and outstanding fees as well as someone who will also run our school's very busy ECA programme. The successful applicant will have a proven track record in the areas of Finance and ECAs.

**Bursar Responsibilities**:

- To manage the finance team, including fee invoices and monthly outstanding payments.
- To manage payment plans for parents who need to pay on a monthly basis as opposed to a termly basis.
- To meet with the School Principal weekly and discuss plans to resolve outstanding fees and running of the finance department.
- To ensure that scholarships that are offered are accurately captured and applied for invoicing and payment purposes.
- To ensure invoices for registration fees and eventually term fees are raised for new student admissions timeously.
- To liaise with the Registrars on new admissions and student leavers in terms of financial implications.
- To ensure the accuracy of the invoicing of termly fees.
- To manage the process of collecting outstanding fees, arranging meetings (collaborated with the Principal's PA) if required and creating a system of follow-up of any late or non payments.
- To ensure students on the outstanding fees list are not allocated ECAs, local and overseas trips, reports etc.
- To manage and maintain iSAMS is our school database.
- To update any parent information on the school database.
- To integrate our school's various platforms into iSAMS ensuring compliance and security are not comprised with our IT team.
- To administrate the database by adding staff profiles and ensuring correct security restrictions with the IT team.

**Extracurricular Activities Coordinator Responsibilities**:

- To put out the relevant sheets for the collection of data for the ECA programme.
- To collect, coordinate and compile the ECA programme from the data received.
- To ensure there is an even spread across the year groups for each day.
- To compile the correspondence for communication to parents.
- To liaise with the PE team to ensure there are no clashes of venues for the ECAs.
- To cull activities that have not reached the numbers to run.
- To inform the relevant Heads of School regarding staff who have ECAs that have been culled and are then free to assist in popular choice activities.
- To liaise with external providers to bolster our extensive ECA programme.
- To ensure relevant contracts are signed by external providers outlining payments, Health and Safety regulations, attendance procedures and sign-up procedures.
- To ensure payments are collected from external ECA providers timeously.
- To ensure that ECA providers are complying with school policies, procedures and regulations.
- To ensure records of all external ECA service provider staff have been collected and entered into the school's database.
- To ensure students on the outstanding fees list are not allocated ECAs.
- To resolve any issues with parents that have arisen either at the ECA or during the ECA sign-up process.
