Tender Document Controller
File correspondence, cards, invoices, receipts, and other records in alphabetical or numerical order or according to the filing system used. Locate and remove material from file when requested. The tender document controller assists the Estimation Engineer in all matters related to the tender documents, sub-contractor and other related files.
**Responsibilities**:
- Copying or/and scan all tender documents to its file folder after receiving the original (backed-up soft copy or a hard copy)
- Preparing all inquired materials from Bill of Quantities.
- Converting or typing the pdf BOQ into excel format when required
- Copying and updating all the quotations received from subcon/suppliers to corresponding projects (tender and in-hand).
- Searching for new vendors/suppliers and subcontractors through online resources.
- Prepare all the tender documents with all the corresponding attachments before and during submission date.
- Ensure all relevant documents for tender proposals are complete and accurate.
- Preparing additional tender documents which needs to be attached/submitted as a part of the Tender.
- Properly filled-in the Form of Tender, Appendix to Tender and others which is required for submission.
- Checking the rates and amounts thru equated excel to avoid mistakes.
- Writing down or typing the final rates and amounts in the BOQ for submission.
- Updating list for tender projects, In-hand projects, projects and property insurances.
- Filing submitted hard copies of tender documents.
- Scan, Arrange and sort all tender documents or in hand projects (active and completed).
- Preparing the draft subcontract agreement and sending it to the subcontractors for signature, after the finalization.
- Provide proper documentation to senior staff, engineers and management when required
- Editing and printing company profile for further use.
- Checking the project’s client website/portal for the corresponding tenders.
- Submitting the tenders through related online platforms (ex. SFD, MOID and MAF).
- Perform periodic inspections of materials or files to ensure correct placement, legibility, or proper condition.
**Requirements**:
- Excellent written and verbal fluency
- Document Management Systems Knowledge
- Document Filing Diligence and Organization
- Microsoft Office Skills
- Great with organizing and processing information
- Able to evaluate information in order to check its compliance with standards
- Bachelor degree
- Ability to work under pressure
- Interpersonal and teamwork skills
- 2-3 Years Experience in the **construction industry in the GULF area, preferably the UAE.**
**- Apprehension of tender documents for construction is a plus**
Ability to commute/relocate:
- Sharjah: Reliably commute or planning to relocate before starting work (preferred)
