To support our continued growth, we are seeking an experienced and detail-oriented Admin and Sales Support Executive to join our team in Dubai.

The Admin and Sales Support Executive will play a vital role in managing administrative tasks, supporting the sales team, and overseeing company accounts.

This role requires a proactive professional capable of managing multiple responsibilities efficiently while maintaining accuracy and attention to detail.

**Key Responsibilities**:
**1. Sales Support and Customer Coordination**:

- **Quotation Preparation**: Collaborate with the sales team to create accurate and professional quotations for clients, ensuring timely submission and follow-up.
- **Project and Customer Follow-Up**: Act as a point of contact for clients, providing updates on project timelines, addressing inquiries, and ensuring consistent communication throughout the project lifecycle.
- **Lead Generation and Market Research**: Research and identify new customer opportunities, monitor industry trends, and support the sales team in generating new leads and expanding the customer base.
- **CRM System Management**: Update and manage the company’s CRM system, ensuring customer and project information is accurately recorded and utilized to enhance customer relationships.

**2. Administrative Support and Documentation**:

- **Document Management**: Maintain and organize company records, including invoices, quotations, shipping documents, and other important paperwork, both in digital and physical formats.
- **Office Operations Support**: Handle general office administrative tasks, such as managing office supplies, coordinating team meetings.

**3. Financial Management and Accounts Handling**:

- **Invoice and Credit Management**: Prepare, issue, and track invoices, delivery notes, and credit notes accurately and on time, ensuring that all transactions are documented properly in the accounting system.
- **Accounts Receivable and Payable**: Monitor accounts receivable to ensure timely payments, follow up with clients on overdue invoices, and manage accounts payable to maintain smooth financial operations.
- **Tax Compliance and Audits**: Ensure compliance with local tax regulations and prepare necessary documents for audits, tax filing, and other regulatory requirements.

**Requirements**:

- Minimum of 2-3 years of experience in administrative, and sales support roles within the automatic doors and physical security solutions industry.
- Strong understanding of and familiarity with local regulatory requirements in Dubai, UAE.
- Proficiency in accounting software and Microsoft Office Suite (Zoho, Excel, Word, Outlook).
- Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills, with a customer-focused approach.
- Ability to work independently, as well as collaboratively, within a dynamic and fast-paced environment.

**Qualifications**:

- **Arabic**: preferred, Native/Fluent
- **English**: Fluent
- **Required**: Experience in the field of automatic doors, access & security solutions.
