Operations Coordinator

**Customer Relationship Management**
- **Build and Maintain Relationships**:
- Foster positive relationships with suppliers, customers, and internal teams to build customer loyalty and strengthen the company’s reputation.
- Increase referrals by ensuring customer satisfaction through timely and effective communication.
- **Effective Communication with Customers**:
- Communicate with customers on a timely basis, keeping them informed about the status of their orders.
- Address customer complaints or concerns promptly by coordinating with the team and Head of Department (HOD).
**Sales and Customer Service**
- **Prepare Spare Parts Quotations**:
- Prepare quotations through the Focus system for spare parts for all products, coordinate with the logistics team, and follow up with clients for order confirmation and completion.
- Assist in preparing service quotes as needed, ensuring accuracy and alignment with customer needs.
- **Assist with Customer Interactions**:
- Assist with customer calls, walk-ins, and technician parts requests, ensuring a high level of customer service and satisfaction.
- Communicate with clients regarding the delivery or collection of parts.
- Greet customers, answer calls, and arrange couriers when needed.
- **Salesforce CRM**:
- Updating the CRM as per the confirmed order of service and parts.
**Inventory and Stock Management**
- **Record Keeping and Documentation**:
- Ensure all records are maintained for the store, shipment, orders, material requests, delivery notes (DN), Local Purchase Orders (LPO), and other relevant documentation for spare parts and store management.
- Maintain accurate stock records for parts, including receipts, withdrawals, and transactions.
- **Stock Control and Organization**:
- Prepare and manage forecasts for fast-moving parts, ensuring adequate stock of essential spare parts.
- Identify and store fast-moving items and service kits separately for easier access and quick use in the workshop.
- Handle stock-related duties like returning, packing, labeling, and pricing of supplies.
- Inspect deliveries for damages or discrepancies and report issues to the Logistics Manager.
- Ensure proper inventory control, including stock-level documentation and inventory audits.
**Procurement and Purchasing**
- **Procurement for Workshop**:
- Procure necessary materials, equipment, and supplies for the workshop, following the Manager’s approval processes.
- Prepare workshop purchase requests and maintain expense records related to parts and materials.
**Operational and Safety Procedures**
- **Maximize Efficiency**:
- Implement procedures that streamline operations, reduce waste, and maximize overall efficiency in spare parts management and service operations.
- Work on procedures that ensure a smooth and organized workflow for inventory management, orders, and customer service.
- **Safety and Environmental Considerations**:
- Assist in maintaining a safe and environmentally friendly service operation by following the company’s safety procedures and sustainability practices.
**Other Responsibilities**
- **Coordination of Freight and Equipment Movement**:
- Coordinate the handling of freight and movement of equipment, ensuring safe transport and minor repairs as needed.
- **Other Duties**:
- Be flexible and assist with additional duties as assigned by management to ensure the smooth operation of the store and parts department.
Pay: AED3,000.00 - AED3,500.00 per month
**Education**:
- Diploma (preferred)
**Experience**:
- Administration, Inventory Management: 2 years (preferred)
**Language**:
- English (required)
