Front Desk Assistant

Refine is seeking a friendly, professional, and organized Receptionist to join our team. The
Receptionist will be the first point of contact for visitors and callers, ensuring they receive a
warm welcome and efficient service. This role requires excellent communication skills, a
positive attitude, and the ability to handle multiple tasks simultaneously.
**Key Responsibilities**:
- Front Desk Management:_
- Greet and welcome visitors as soon as they arrive at the office.
- Direct visitors to the appropriate person and office; provide basic and accurate information in person
- Address and resolve basic inquiries or complaints from clients, ensuring they are directed to the
right department when necessary.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material
(e.g., pens, forms, and brochures).
- Telephone Management:_
- Answer, screen, and forward incoming phone calls.
- Take and relay messages promptly and accurately.
Administrative Support:
- Receive, sort, and distribute daily mail and deliveries.
- Manage company meeting rooms, including booking, preparation, and external guests reception.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
- Scheduling and Coordination:_
- Schedule and confirm appointments and meetings.
- Coordinate front-desk activities, including distributing correspondence and redirecting phone
calls.
**Qualifications**:
- Education and Experience:_
- High school diploma or equivalent; additional certification in Office Management is a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
**Skills**:
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment (e.g. printers).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.

- Ability to work in a fast-paced environment.
- Flexibility and willingness to assist with various tasks as needed.
- Reliability and punctuality.
