Job Title: Administration Officer - Real Estate
**Job Description**:
As an Administration Officer in the Real Estate industry, you will be responsible for ensuring the smooth and efficient operation of various administrative tasks, with a strong focus on property validations and listings, portals management, developers updates and communications, and following up with developers and clients. Your role is critical to supporting the company’s real estate operations and maintaining seamless communication within the team and with external partners.
Key Priorities:
- Property Validations and Listings: Ensure all property listings are accurate, up-to-date, and comply with company standards. Validate property details before they are published on various platforms.
- Portals Management: Manage and update real estate portals, ensuring that all listings are visible, accurate, and attract potential clients.
- Developers Updates and Communications: Maintain regular communication with developers to stay updated on new projects, property availability, and changes. Relay important information to relevant team members and clients.
- Follow-Up with Developers and Clients: Actively follow up with developers and clients to ensure smooth transactions and address any concerns or questions promptly.
Key Responsibilities:
- Office Management: Oversee the day-to-day operations of the office, including managing office supplies, equipment, and facilities to ensure a well-organized and efficient workplace.
- Real Estate Transaction Support: Assist in the preparation and management of documents related to property listings, sales, leases, and other real estate transactions. Ensure all paperwork is completed accurately and submitted on time.
- Client and Agent Support: Provide administrative assistance to real estate agents and clients, including scheduling appointments, coordinating property viewings, and handling inquiries.
- Document Management: Maintain and organize company records, contracts, and legal documents related to real estate transactions. Ensure documents are up-to-date and easily accessible.
- Communication: Serve as a point of contact between internal departments, agents, clients, and external parties, relaying information and handling inquiries promptly and professionally.
- Financial Administration: Assist with basic financial tasks such as processing invoices, managing petty cash, and coordinating payments related to real estate transactions.
- Event Coordination: Organize and coordinate company events, meetings, and property showings. Manage event logistics and ensure that everything runs smoothly.
- Compliance: Ensure that the company complies with real estate regulations and internal policies. Assist in the preparation of reports and documents required for regulatory compliance.
- Problem-Solving: Address and resolve any administrative issues that arise, using sound judgment and efficient problem-solving skills.
Qualifications:
- A minimum of 1 year of experience in an administrative role, preferably within the real estate industry.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with real estate software is an advantage.
- Excellent written and verbal communication skills.
- Ability to multitask and handle multiple priorities in a fast-paced environment.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team.
- Basic understanding of real estate transactions and documentation is a plus.
