- Answer, screen, and direct incoming calls to appropriate departments or employees.
- Manage the company’s main phone line and ensure calls are attended to promptly and professionally.
- Provide accurate information to callers regarding the company’s services, office hours, and locations.
- Take and relay messages to appropriate individuals when needed.
- Handle inquiries from clients and visitors, ensuring a professional and welcoming tone.
- Maintain an updated directory of company contacts and regularly update internal telephone lists.
- Assist in scheduling appointments and booking meeting rooms.
- Record and monitor any issues with the phone system, ensuring proper functioning.
- Provide backup support to reception as needed.
- Provide product and service information, including pricing and availability.
- Assist customers in placing orders and tracking deliveries.
- Process returns, exchanges, and refunds in coordination with the sales and logistics teams.
- Maintain accurate customer records and update the CRM system regularly.
- Follow up with clients post-sales to ensure satisfaction and address any concerns.
- Collaborate with the sales and logistics departments to ensure timely delivery of products.
- Escalate complex issues to the appropriate departments for resolution.
- Collect customer feedback to improve the company's services and products.
- Support the sales team with administrative tasks such as preparing quotations, order processing, and documentation.
