SUMMARY

Reporting to the Regional Manager, the Commercial and Administration Officer will oversee all office/facilities, administrative and assist in commercial functions.

PRIMARY RESPONSIBILITIES
- Manage and support day-to-day Operations related administrative and secretarial support
- Handle documentations of incoming and outgoing shipments
- Coordination of channel control and movement of vessels and updating of record books
- Assist the Regional Manager and the Group General Manager and other employees of the Company in management of key client accounts
- Handle all correspondence with high degree of independence, judgement, and discretion, of which some are of highly confidential nature
- Ensure Company’s database is up-to-date and new records are added timely
- Ordering and maintaining office supplies (stationery and grocery)
- Provide secretarial service and administrative support to the Company
- Maintain records as per SEMS and charterer requirements
- Maintain inventories and control of Company documents, manuals, publications etc
- Maintain folders and updated information in shared folders and files.
- Perform other duties assigned by the Regional Manager and the Group General Manager
- Assist Regional Manager and Group General Manger in drawing up CPA
- tracking the on hire - off hire records and the net profit for Al HAIL
- Coordination with internal departments to collate all required information for tenders.
- Take Minutes of Meeting, coordinate with clients and accounts on tenders
- Able to format and revise commercial proposals promptly.
- appoint the typing center and work closely with the crewing officer and the fleet support to make sure that the employment and visa process are going smoothly
- Communicate with the vessel's owners and brokers to source out the vessels matching the Client's enquiry Assist the company managers when and as required.
- Must have good communications skills
- Tendering, administration, and organizational skills.
- Coordination skills and team player yet able to work independently
- Attention to detail
- Ability to multi-task and able to work under pressure
- Requires someone with great sense of urgency, high responsiveness and takes initiatives
- Diploma in Administration of equivalent
- Office Based
- Main Duties: Fleet Support Officer and Senior Accountant

**Experience**:

- Ship Management Company: 1 year (required)
