Clinic Front Office in Charge

We are an Aesthetic and Laser Company currently looking for an experienced Front Office In Charge to be based in one of the Clinic in Al Barsha Dubai UAE
Key Responsibilities:
- Scheduling Staffs Shifts.
- Assisting management in training, motivating, and coaching employees, and serving as an effective role model.
- Handle guest problems/complaints accordingly with the approval of the Clinic Manager.
- Review work procedures and operational problems to determine ways to improve service, performance, or safety
- Developing and maintaining positive working relationships with staff members as well as patients.
- Serves patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.
- Welcomes patients and visitors in person or on the telephone, and answering or referring inquiries.
- Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
- Keeps patient appointments on schedule by notifying providers of patients’ arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
- Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.
- Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.
- Helps patients in distress by responding to emergencies.
- Protects patients’ rights by maintaining the confidentiality of medical, personal, and financial information.
- Maintains operations by following policies and procedures, reporting needed changes.
- Contributes to team effort by accomplishing related results as needed.
- Generate monthly front desk report and send it accordingly to the Clinic Manager.
- Generate quarterly statistics reports.
- Work closely with Marketing Department for (Monthly Offer, Social Media, Marketing Budget).
- Handles Clinic Petty Cash and reporting.
- Knowledge and assisting during DHA inspection.
Preferably with 5 or more years experience in cosmetic laser, aesthetic, hospital, medical centre.
Can speak, read and write English and Arabic.
Willing to work shift hours including evening.
**Salary**: AED5,500.00 - AED6,000.00 per month
