**Job Summary**

As a Reservations Supervisor you are Responsible for organizing the various parts of the group reservation process to make sure all people and tasks involved work together to deliver accurate group reservation information in the system, and therefore contributing towards a good customer experience, along with Supervisory tasks at Reservations.

**General Duties and Responsibilities**:

- Set up group booking information in the property management system once a group contract has been established; ensure the group information, rate code, market segment, billing instructions and rooming list are accurately entered
- Create and maintain group files; update any information received, and build Group Summary files with Guest names, room requirements, arrival and departure details, credit and billing instructions with appropriate supporting documents, transportation arrangements, meals instructions, location and times, special activities, Group Leader’s name and other relevant information in order to properly communicate group information; distributes group related information to all related departments
- Prepare weekly group pick up report highlighting release dates and action required; proactively follows up on pending information including rooming list update, billing or payment instructions, and release dates; communicates any changes on in-house groups to the Front Office Shift Leader, and or other departments as necessary
- Assist and handle reservation inquires as necessary; in the absence of the Department Manager
- Participate in pre-con and post-con meetings for updates, and feedback where a group is reviewed
- Operate in a safe and environmentally friendly way to protect guests’ and employees’ health and safety, as well as protect and conserve the environment
- Comply with the hotel environmental, health and safety policies and procedures
- Answer any reservation inquiry in the prescribed manner under approved company policy
- Distribute and assign specific tasks in the department in order to bring together team contributions so as to deliver efficient results for the reservation operations
- Assist in training of existing and new reservation agents; making sure the agents understand the daily tasks and the procedures
- Follow up and communicate interdepartmental information as well as a handover of shift change to ensure smooth processing of Guest reservation and Guest satisfaction prepare handover of shift change (e.g traces status, arrival check, maintain Reservation log etc.)
- Responsible to be aware to identify barriers to booking as a result of change in inventory, or improper inventory controls, in order to have accurate inventories
- Provide feedback to the Reservation Manager/Revenue Manager or other direct report on challenges in the department and ways to overcome these; provide assistance in scheduling and making sure the times are adhered to for an efficient operation

**Qualifications required**:

- Proven Experience as Reservations Supervisor
- Proven Experience handling groups bookings
- A guest Oriented and professional and positive attitude
- Organizational and time management skills
- Team leader who can managed a team with absence of direct manager
- Proficiency in English. Proficiency in Reservations systems (Opera, OTAs extra nets)
- Computer Literacy (Outlook & Excel), along with reporting skills

**Education**:

- Bachelor's (preferred)

**Experience**:

- hotel reservations: 2 years (required)
- supervisory: 1 year (required)
