The Executive Secretary will play a pivotal role in supporting the senior management team and ensuring smooth day-to-day operations of our projects. This individual will provide administrative support while managing key tasks related to our interior design and fit-out projects. The role requires an individual with a strong background in interior design, fit-out processes, and office management.

**Key Responsibilities**:

- Provide comprehensive administrative support to senior management, including scheduling meetings, managing calendars, and preparing agendas and meeting minutes.
- Coordinate with clients, suppliers, contractors, and internal teams to ensure timely and effective project execution.
- Oversee project timelines, milestones, and deliverables for interior design and fit-out projects.
- Maintain project documentation, including contracts, change orders, invoices, and other necessary records.
- Assist in preparing presentations, proposals, and reports for clients and stakeholders.
- Assist in procurement and tracking of materials and supplies needed for projects.
- Manage office supplies and ensure that the workplace environment is conducive to productivity and collaboration.
- Perform general office tasks, including filing, photocopying, and data entry.
- Support the finance department in monitoring budgets and tracking expenses for each project.
- Assist with any additional duties as required by senior management.

**Key Requirements**:

- Proven experience as an Executive Secretary, Administrative Assistant, or in a similar role within the interior design and fit-out industry.
- Strong knowledge of interior design processes, fit-out operations, and related documentation.
- Excellent organizational skills and the ability to manage multiple tasks simultaneously.
- High attention to detail and problem-solving capabilities.
- Proficient in MS Office (Word, Excel, PowerPoint) and project management software.
- Excellent written and verbal communication skills.
- Ability to work effectively under pressure and meet deadlines.
- Fluent in Tagalog and English
- Prior experience in handling client communications and coordination is an advantage.
