**Job Overview**:
**Key Responsibilities**:

- **Facilitate Communication**: Serve as the primary liaison between the Managing Partner/CEO and the Sales, Production, and Accounts departments, ensuring effective information flow.
- **Project Coordination**: Coordinate and track ongoing projects, ensuring all departments are aligned with timelines, objectives, and deliverables.
- **Meeting Management**:

- Schedule meetings for the Management with internal departments and external clients.
- Attend meetings, take comprehensive minutes, and distribute them to relevant parties.
- Follow up on action items and ensure deadlines are met by coordinating with the necessary departments.
- **Client Communication**: Manage client communications on behalf of the Management, ensuring clients are updated on project statuses, timelines, and deliverables.
- **Administrative Support**: Assist the Management with day-to-day tasks, such as preparing reports, drafting correspondence, and managing calendars.
- **Progress Tracking**: Regularly monitor the status of departmental work and provide updates to the Managing Partner/CEO, flagging any delays or issues that need attention.
- **Follow-Up on Task Completion**: Work closely with department heads to ensure tasks and projects are completed on time, maintaining a clear line of communication between departments and management.
- **Report Preparation**: Compile and present periodic reports summarizing departmental activities, project progress, and key business metrics.
- **Problem-Solving**: Identify operational challenges and work with the respective departments to resolve issues, ensuring smooth project flow.
- **Maintain Confidentiality**: Handle sensitive business information with discretion and professionalism.
- **Approaching Business Partners**: Approach and comparing required business partners.

**Requirements**:

- Bachelor’s degree in Business Administration, Communications, or a related field.
- UAE Driving license holder preferred.
- 3+ years of experience in a coordination role, preferably within web, mobile and media production or a fast-paced creative industry.
- Excellent communication and interpersonal skills to manage interactions across departments and with external clients.
- Strong organizational and multitasking abilities to manage multiple tasks and projects simultaneously.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and project management tools.
- Experience in preparing meeting agendas, minutes, and coordinating follow-ups.
- Ability to maintain confidentiality and manage sensitive information.

**Preferred Qualifications**:

- Experience in the digital agency or creative industries.
- Bilingual Proficiency (English & Arabic)
