Events and Exhibition Site Coordinator

Job Summary:
The Events and Exhibition Site Coordinator is responsible for overseeing and coordinating all aspects of events and exhibitions at a designated site or venue. They work closely with event organizers, exhibitors, and internal teams to ensure smooth execution of events and provide exceptional customer service. The coordinator manages logistics, coordinates resources, and serves as the primary point of contact for all event-related matters. They play a critical role in ensuring the success and satisfaction of participants and visitors.
Duties and Responsibilities:
Event Coordination:
Collaborate with event organizers to understand their requirements and objectives.
Plan, organize, and coordinate all aspects of events and exhibitions, including setup, breakdown, and scheduling.
Arrange for necessary permits, licenses, and insurance.
Coordinate with internal teams, such as facilities, security, and technical support, to ensure smooth event operations.
Manage event budgets and resources effectively.
Vendor and Exhibitor Management:
Serve as the primary point of contact for exhibitors, vendors, and suppliers.
Assist exhibitors in their setup, ensuring proper placement and adherence to event guidelines.
Coordinate with vendors for services like catering, audiovisual equipment, and signage.
Address exhibitor and vendor inquiries, concerns, and requests promptly and professionally.
Logistics and Operations:
Coordinate event logistics, including parking, transportation, and security.
Ensure compliance with health and safety regulations and emergency procedures.
Oversee event setup, ensuring proper placement of exhibits, signage, and equipment.
Coordinate event-specific requirements, such as electricity, Wi-Fi, and AV equipment.
Communication and Documentation:
Maintain effective communication with event organizers, exhibitors, and internal teams.
Create and distribute event-related documents, such as schedules, floor plans, and exhibitor manuals.
Prepare event reports, including attendance, feedback, and post-event evaluations.
Manage event-related databases and records, ensuring accurate and up-to-date information.
Qualifications and Skills:
Bachelor's degree in event management, hospitality, or a related field (preferred).
Proven experience in pre and post event coordination in the UAE.
Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines.
Excellent interpersonal and communication skills.
Attention to detail and problem-solving abilities.
Flexibility to work evenings, weekends, and extended hours as required.
