Job Purpose:

To provide comprehensive business support services to Regional Management and serve as the primary point of contact for all internal and external stakeholders. You will be working in close collaboration with the BUs within the region and across regional teams to provide efficient business support.

Job Description:

  • Work closely and effectively with Department Managers, with follow upon projects, tasks and deliverables at all times being well informed of upcoming commitments and responsibilities, and following up appropriately as required.
  • Monitor various performance reports and dashboards, bringing forth items of note or concern to the management.
  • Screens incoming calls and correspondence, and responds independently.
  • Directs preparation of records such as agenda, notices, minutes, and resolution of customer & internal corporate meetings.
  • Assists in the preparation of all contractual documents and filing of all commercial contracts.
  • Preparation and maintenance of presentation materials and reports as required.
  • Preparation, organization, and coordination of external and internal meetings.
  • Support office administration efficiently. Oversee day to day activities in close coordination with the Department Admin coordinator.
  • Calendar management for the Regional Manager. Being able to maintain a daily challenging calendar with discretion and handle urgent inquiries in the best possible way
  • Travel management – support in meeting preparations and travel logistics
  • Provide ad hoc assistance related to department projects

Required Criteria:

  • Bachelor Degree
  • Atleast 3+ years UAE experience in business support role in trade development, logistics and related roles.
  • Strong proficiency in MS Office (Outlook, Teams, Word, Powerpoint, Excel)
  • Structured, organized and process-oriented
  • Background from the Shipping, Logistics, Freight industry would be value added
