Roles and responsibilities

The Field Service Visa Coordinatorrole requires working closely with our field service and planningteam by handling clerical duties, coordinating, organizing the sitemobilization, security clearance and travel requirements for thefield service personnel. Securing on time Visa applications andsupporting the team regarding Visarequirements.

What are myresponsibilities?

  • Co-ordination with resourceallocation team
  • Ensuring that all Personneldocuments are up to date.
  • Maintain and updatingthe Vistool in Primavera Webtool
  • Ensuringsmooth onboarding for new joiners
  • SupportingFSR for obtaining the visa
  • Updating the Visarequirements folder in share drive
  • Arrangingall appointments for EHS and Onboardingrelated
  • Ensuring a smooth onboarding for thenew joiners FSR and offboarding for theleavers
  • Co-ordination with counterparts indelegation center and do all required submission for propermobilization.
  • Supporting with visa documentsand ensuring that visas are valid for allpersonnel.
  • Supporting process improvement indaily work environment. Supporting commercial officer forrespective delegations
  • Collaborate with teammembers and the FS Resource Management in day-to-day improvementactivities.
  • Supporting process improvement indaily work environment.
  • Ensuring the dataquality and accessibility to project sites forFSR’s.
  • If require handling othertasks assigned by the line manager

Eligibility:

  • BA, IT or Science Degree holder fromrecognized university or college.
  • 5 Years ofexperience in Visa coordination, office administration, planning orprocess improvement experience.
  • Advancedknowledge in office application tools
  • Advancedknowledge of English written and spoken
  • Willingto work in multi-cultural teams.
  • Processdriven, Team Player & self-motivated.

Desired candidate profile

1. Scheduling andDispatching

  • Coordinatingtechnician schedules to ensure timely servicedelivery and minimize downtime
  • Managing servicerequests, dispatching technicians to appropriate locations based onurgency and expertise
  • Handlingemergency calls and ensuring the rightresources are allocated quickly
  • Usingscheduling software or management systems (e.g.,FieldAware,ServiceTitan, MSPsoftware) to track service appointments andtechnician availability

2.Customer Service andCommunication

  • Servingas the main point of contact for customers to provide serviceupdates, resolve issues, and handlecomplaints
  • Communicating effectively withclients, understanding their needs,and providing service updates inreal-time
  • Managing customerexpectations and ensuring that service teams meetdeadlines and quality standards
  • Offeringpost-service support, gatheringfeedback, and addressing any concerns to ensure customersatisfaction

3.Logistics and ResourceManagement

  • Ensuringthat service teams have the righttools,equipment, andmaterials for eachjob
  • Coordinating theprocurement of parts or suppliesneeded for repairs or installations
  • Trackinginventory and ensuring that technicians are stocked with necessaryspare parts or consumables
  • Managing logisticsfor on-site visits, including travelarrangements for technicians ifnecessary

4. TechnicalKnowledge and ProblemSolving

  • Understandingbasic technical aspects of the service being provided (e.g., HVAC,IT, industrial equipment) to provide support whenneeded
  • Helping troubleshoottechnical issues remotely whenpossible or directing technicians to the rightsolution
  • Identifying recurring problems andworking with technical teams to develop solutions orimprovements
  • Being able to reviewservice reports and analyze field service trends toidentify opportunities for operationalimprovements

5. TimeManagement andPrioritization

  • Prioritizingservice calls based on urgency, customer needs, and availableresources
  • Managing multiple tasks andresponsibilities efficiently to ensure smoothworkflow
  • Ensuring that service appointments arecompleted on time, with minimal delays, and within budgetconstraints

6.Documentation andReporting

  • Managingdetailed service records, includingjob orders, service reports, and equipmentlogs
  • Ensuring that technicians complete allrequired paperwork, including work orders, invoices, and timesheets
  • Generating servicereports for management and customers, tracking jobcompletion, and assessing overall serviceperformance
