Roles and responsibilities
  • OnboardingOperations:
    • Communicatedaily with the Onboarding Department to provide updates and receivefeedback.
    • Use iAuditor for initial propertyinspections and the PMS (Property Management System) to finalizeinventories.
    • Conduct initial inspection reportsfor new villas.
    • Complete final inventorizationonce furnishing is done.
    • Take accuratemeasurements of new properties and share with the Project Managers(PMs).
    • Communicate with suppliers and overseedeliveries, ensuring items are received in goodcondition.
    • Update tasks in Click up to trackprogress.
    • Work closely with Project Managers toalign onsite tasks with project deadlines (housekeeping,maintenance, pest control, landscaping,etc.).
    • Schedule onboarding tasks for groundteams and ensure timelines are met.
    • Connect ordisconnect utilities in Fujairah asneeded.
    • Coordinate with contractors onlandscaping, swimming pool construction, renovations, etc., andkeep PMs informed of progress.

2. Operations & FacilityManagement:

  • Create andmanage schedules for housekeeping, maintenance technicians, pestcontrol, pool cleaners, and gardeningstaff.
  • Prioritize tasks according to bookings,emergencies, and check-inrequirements.
  • Supervise all operationsactivities to ensure they are performed to the higheststandard.
  • Verify completed tasks are updated inthe PMS and Click-up accurately.
  • Purchase minoritems (consumables, office supplies, replacements) for properties,office, or staff accommodations.
  • Overseestorage items (including landlord-owned items) in theaccommodation's storage unit and maintain records inin-Flow or similar inventory software.
  • Handleoffice and accommodation needs (utilities, contracts, renewals,payments).
  • Conduct weekly surprise inspectionsto ensure accommodations are kept clean and orderly. Reportfindings to HR.
  • Oversee the maintenance anddaily usage schedules for company vehicles inFujairah.
  • Schedule timely pickups and drop-offsof soiled and clean linens with the laundrycompany.
  • Work closely with APEX (or similarlocal facility management partners) to address major maintenancetasks.
  • Record and document all related costs,ensuring they are logged accurately.

  • PrimaryReporting: Head of Facility Management and Head ofOnboarding & Interior Design for all onboarding-relatedactivities.
  • Secondary Reporting:HR Manager for any staff-related matters(performance, housing inspections,etc.).

Requirements:

  • Diplomaor Bachelor's degree in Hospitality, Business, or arelated field (preferred).
  • Proven experience inoperations or facility management, ideally in hospitality orproperty management.
  • Familiarity with propertymanagement systems (PMS), Click up, inventory software (in Flow),and MS Office.
  • Strong communication,leadership, and organizational abilities. Able to prioritize taskseffectively and manage multiple teams.
  • Must behaving Valid UAE Driving License.
  • Comfortableworking in Fujairah with periodic travel to Dubai ifneeded.
