Job Title:
Admin Executive - Dubai Operation Management


As an Admin Executive for Dubai Operation Management, you will be responsible for providing comprehensive administrative support to the operations team in Dubai.

Your role will involve managing day-to-day administrative tasks, coordinating with various departments, and ensuring smooth operations. You will play a crucial role in maintaining efficient office processes and supporting the overall success of the organization.

Responsibilities:

Office Administration:
Perform general administrative duties, including managing correspondence, answering phone calls, and maintaining office supplies.

Documentation:
Prepare and maintain important documents, reports, and records related to operations. Ensure accurate and timely documentation.

Communication and Coordination:
Act as a point of contact for internal and external stakeholders. Coordinate with different departments, teams, and external vendors to ensure effective communication and smooth operations.

Travel and Accommodation:
Arrange travel itineraries, accommodation, and transportation for staff members and guests visiting Dubai. Handle visa processing and related documentation.

Calendar Management:
Manage schedules and appointments for the operations team. Coordinate and schedule meetings, conferences, and events.

Data Management:
Maintain and update databases, spreadsheets, and other relevant records related to operations. Ensure data accuracy and confidentiality.

Office Maintenance:
Oversee office maintenance and facilities management. Coordinate with service providers for repairs, maintenance, and other office-related requirements.

Event Planning:
Assist in organizing and coordinating corporate events, workshops, and conferences. Manage logistics, invitations, and event-related tasks.

Financial Support:
Assist in budgeting and financial administration tasks, such as tracking expenses, processing invoices, and maintaining financial records.

Ad hoc Support:
Provide general support to the operations team as needed, including research, presentations, and special projects.

Requirements:

Education:
Bachelor's degree in Business Administration, Operations Management, or a related field is preferred.

Experience:
Prior experience in administrative roles, preferably in operations management or a similar field, is highly desirable.

Communication Skills:
Excellent verbal and written communication skills in English. Proficiency in Arabic is an advantage.

Organizational Skills:
Strong organizational and time management abilities to handle multiple tasks and prioritize effectively.

Attention to Detail:
Keen attention to detail to ensure accuracy in documentation and data management.

Problem-Solving:
Ability to identify and resolve operational issues proactively and independently.

Software Skills:
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software and tools.

Adaptability:
Flexibility to work in a fast-paced environment and adapt to changing priorities.

Interpersonal Skills:
Strong interpersonal skills to collaborate with cross-functional teams and stakeholders at different levels.

Professionalism:
Maintain confidentiality, demonstrate professionalism, and exhibit a positive attitude.

Salary:
From AED2,500.00 per month
