At least 5 years of proven work experience in the Administration Department (Chemical Industry experience preferred)

Job Overview:

Responsibilities:

  • Maintain agenda in planning appointments, board meetings, and conferences.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Custom Clearance for Imports and Exports
  • Creating custom documents BOE for material inward and outward and keeping an accurate track record for material and machinery coming in and moving out.
  • Possess excellent communication skills, both written and verbal word processing, creating spreadsheets and presentations, and filing, and handling confidential documents ensuring they remain secure.
  • Renew and manage office licenses/trade licenses thirdparty contracts etc.
  • Renew and manage office licenses/trade licenses Company's legal documentation processing, employee visa renewals, and other Government compliances/renewals.
  • Maintained high standards of accuracy and quality in data entry and recordkeeping.
  • Monitor office supplies and negotiate terms with suppliers to ensure the most costeffective orders.
  • Preparation of PR / PO for officerelated material and other requirements including office stationery.
  • Planning for food and supplies at the time of clients' meetings or functions.
  • Make travel arrangements for executives Flight / Hotel / Visa booking, tracking and
  • Manage schedules and calendars for deadlines.
  • Making arrangements for newly joined employees for seating, PC, access cards, etc.
  • Assists in office renovation and handover of company vehicles and company assets.
  • Maintain all office equipment under AMC (Vehicles/Machinery/AC/Vending Machine/Water filters/IT equipment/First Aid Kits etc.).
  • Managed performance appraisal systems and policies, overseeing (Attendance, Utility Bills, Petty Cash and reconciliations).
  • Planned, coordinated, and optimized administrative procedures, resolving conflicts through positive and professional mediation.
  • Handling workplace investigations, disciplinary, and termination procedures.
  • Provides administrative support to top management and the general office. Monitors and improves office systems and procedures ensuring policy awareness.
  • Maintaining employee files and workplace privacy.
  • Oversee facilities management of company branches/warehouses/accommodations

Job Requirements:

  • Working Experience in Administration of 5 years (minimum)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software & hardware.
  • Ability to multi-task & deal with work pressure & deadlines effectively
  • Effective communication skills in English, both written and verbal.
  • Ability to work independently as well as harmoniously with team members
  • Discretion and confidentiality in handling sensitive information

Pay:
AED2, AED3,000.00 per month

Ability to commute/relocate:
