About the Role

Job Purpose:


Welcome and provide new parents and students with a positive first impression of the school by presenting the school curriculum and achievements.

Drive enrolments and ensure the target enrolment numbers are reached and all students are registered in accordance with the GEMS Enrolment Process and MOE regulations.


Manage student enrolment numbers to meet or exceed the school-specific enrolment budget consistently throughout the academic year and ensure all students registered in accordance with the GEMS Enrolment Process and the specific governing body.


Key responsibilities:

  • Meet with prospective parents to explain admission procedures, curriculum, fee structure, and regulations in order to ensure prospective parents enroll their children at the school.
  • Maintain an accurate record of all places available at the school and an uptodate waiting list that details students who wish to be enrolled and have passed any necessary placement tests. Registrar should aim to have 50 students per year group, fully assessed waiting to be placed.
  • Update, maintain, and manage the student information SalesForce database ensuring that uptodate information is available on a daily basis.


Crosssell
  • Liaise with Registrar in a similar target market to ensure prospective parents who cannot secure a place at the school are actively guided to secure a place at an alternative GEMS school.
  • Ensure annual enrolment processes such as; the reenrolment process, Parent School Contract and registration of students, is completed within the agreed timetable.
  • Prepare reports for the School Principal/CEO and the corporate office reflecting; the current enrolments, waiting lists, status of vacant seats, and current conversion data. Registrar should meet regularly with the Principal/CEO and SLT of the school to discuss the reports and assist the school with student number projections.
  • Collaborate with School Principal/CEO, SLT, and other FOH members to develop and implement enrolment strategies to achieve budget enrolment numbers at the school.
  • Maintain and create files for all new applicants, new students, current students, exiting students, and alumni and complete all exit documentation for students withdrawing from the school.
  • Be fully versed in all the rules and regulations of the Ministry of Education and other relevant governing bodies to ensure compliance during the admission process.
  • Ensure the GEMS policies, procedures, and codes of conduct are followed at all times and ensure all audit items are addressed in a timely manner.
  • Perform other duties as requested by direct and dotted reporting line managers/ supervisors.

  • Fluent in Arabic and English.

Organization:

Excellent organizational and time management skills.

IT Skills:

Excellent knowledge and understanding of relevant data management systems (Phoenix, Sales Force) and EXCEL and general Microsoft Office packages.

Personal Qualities:

  • Previous experience in marketing preferred.
  • Ability to work well in an educational environment.
  • Able to relate well to both adults and children.
  • Ability to work both independently and as part of a team.
  • Ability to multitask and work under pressure.
