Job PurposeThe Procurement Officer is responsible for the administration directions and supervision of all procurement activities for The Elixir Clinic.

This includes the establishment of procedures priorities schedules surveillance and coordination of all procurement actions.

The role also includes supervising the warehouse operations and driving Finance & Accounts operations to success by implementing proper financial and accounting controls.2.

Duties and Responsibilities2.1 Procurement and Financial ResponsibilitiesResponsible for ordering tracking and importing all products medications devices and other necessary items required by the company through different routesDesigns and implements an action plan for the procurement of raw material in compliance with purchasing policies and assigned budgetsCheck validity of requests to purchase obtaining any additional necessary paperwork and manage any noncompliance requestsCoordinates with vendors to provide required component bidsEnsures high quality and costeffective prices are maintained with the purchasing of all raw materials supplies and equipment for the CompanyMaintains a competitive edge by seeking the s and quotations and evaluating quotes before seeking purchasing approvalsNegotiates prices terms of sales and service agreements and credit terms with vendorsEnsures all quotations and orders are approved by management before purchasePrepares and submits sales contracts for ordersAnalyses the performance of vendors to improve the purchasing processEstablishes and maintains relationships with suppliers/vendors for the flawless execution of assignmentsEnsures that all products are delivered ontime within scope and within the budgetMaintains vendor product and price listsManages all communication for all procurement activitiesResponsible for clearing packages through Customs and the Ministry of HealthPrepares reports for management to plan and execute all procurement activitiesReports and escalates major issues to senior management as requiredAnalyses and designs various costeffective methods of procurementRecommends strategies to improve quality and manage inventory levels for all raw materials products devices etc.

Designs and implements various purchasing strategies and procurement policiesEvaluates and maintains all reports for inventory reorders and coordinates with internal departments on the sameMaintains an efficient purchase order system recommends improvements at all service levels and ensures accuracyPrepares and maintains books of accounts and reconciliation of financial statements payroll for the Company in compliance with regulations to ensure the smooth operations of financial processesResponsible for Accounts payable invoice reconciliations monitoring payment schedules and the process of payments for all suppliersMaintains accurate records and relevant related documentsIdentifies opportunities to add value to the procurement processSupervises all audit activities and evaluation of all purchase ordersOversees all the legal requirements related to the import and export of materials products devices etc.

for the CompanyBuilds a strong rapport with government entities such as the Ministry of Health Health Authorities etc. to fast track processes for the company.

Liaises with various parties and authorities in different countries to streamline the import and export of productsMaintains inventory and supplies by receiving storing and delivering items securing the warehouse and supervising warehouse staffOrganizes delivery of supplies to clients/branches/departments by receiving and transferring itemsCoordinates the movement of inventory by scheduling materials to be moved to and from the warehouse with related departmentsMeets warehouse financial standards by providing annual budget information monitoring expenditures identifying variances and implementing corrective actionsMaintains storage area by organizing floor space adhering to storage design principles and recommending improvementsMaintains inventory by conducting monthly physical counts reconciling variances and inputting dataSecures warehouse by turning alarms on testing systems to make sure the warehouse is safe and secured at all timesTravel to different locations within and outside the UAE for Company business as neededAdhoc duties as required to cover day to day operations2.2 Personal responsibilitiesApply oneself to the job continually upgrade oneself and embrace The Elixir Clinics core Values.
