Sales Coordinator/ Document Controller

Responsibilities:

Document Management:
Manage and maintain all documents related to sales transactions, including purchase orders, invoices, shipping documents, and contracts. Ensure accuracy, completeness, and timely processing of documents.

Letter of Credit Handling:

Coordinate letter of credit transactions, including the preparation of required documentation, liaising with banks, and ensuring compliance with terms and conditions.


International Trade Contracts:
Assist in the preparation, review, and execution of international trade contracts.

Ensure that contracts are in compliance with legal and regulatory requirements and accurately reflect the terms agreed upon by all parties involved.


Communication:

Serve as a liaison between sales teams, customers, suppliers, and other relevant parties to facilitate the exchange of information and documentation related to sales transactions.


Compliance:
Stay updated on relevant laws, regulations, and industry standards related to international trade and document management. Ensure that all transactions comply with applicable regulations and company policies.

Record Keeping:
Maintain organized records of sales transactions, contracts, and other relevant documents. Ensure that documents are easily retrievable for audits and reference purposes.

Process Improvement:
Identify opportunities to streamline processes and improve efficiency in document management and sales coordination activities. Implement best practices to enhance the overall effectiveness of the sales operations.

Requirements:

Experience:

Proven experience in a similar role, with a focus on document management, letter of credit handling, and international trade contracts.


Knowledge:
Strong understanding of letter of credit procedures, international trade regulations, and contract law. Familiarity with Incoterms and other trade terms is a plus.

Attention to Detail:
Exceptional attention to detail and accuracy in document handling and data entry.

Communication Skills:
Excellent verbal and written communication skills. Ability to effectively communicate with stakeholders at all levels, both internally and externally.

Organizational Skills:
Strong organizational and multitasking abilities. Capable of prioritizing tasks and meeting deadlines in a fast-paced environment.

Team Player:
Collaborative attitude with the ability to work effectively within a team and independently.

Tech-Savvy:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management systems/software is preferred.
