  • Maintains patient filesand retrieves files for scheduled appointments; files all patientdata upon receipt of information; maintains filing statistics;audits filing sequence. Responds to requests for medical records;processes letters and reports; answers and directs telephonecalls.
  • Retrieves patient schedules fromcomputer system; sends and receives information via facsimilemachine. Keeps supervisor informed of problems or issues; monitorssupplies needed; performs other duties asassigned.

  • Supervise the work of allthe Medical Records clerk. Should familiarize him/her self with thepolicies for release of information. Must be able to distinguishbetween legitimate and illegitimate requests for release ofinformation or review of charts.
  • Ensure medicalrecord availability by routing records to admissions and emergencydepartments physicians and other authorized hospital staffmaintaining chart location systems.
  • Route theanalyzed patients records to the incomplete files section to therespective doctors nurses and to the Insurancesection.
  • Maintain birth and death registers andto notify concerned authorities in duly completing the requireprocedures.
  • Keep medicolegal records under safecustody.
  • Provide medical records services bymaintaining effective Medical Records filing and retrieving systemincluding locating missing patientrecords.
  • Cooperate with all the departmentrelated to the Medical Records services to obtain the propermaintenance of patient records.
  • Update thecomputer data base through the daily list of patients records fortranscription of medical reports.
  • Check allunreturned patient records through the computer printout and updatethe whereabouts of the patient records at least on weeklybasis.
  • Protect the patient record/s to maintainconfidentiality.
  • Check all patient records inthe filing rack if they were properlyfiled.
  • Maintain all the departmentalKPIs.
  • Have a monthly meeting with the MedicalRecords Manager regarding the preceding months dailyperformances.
  • Perform other duties / taskswithin the realm of his / her knowledge and ability asrequired.
  • Perform any other work related tomedical records as instructed by the Medical RecordsManager.

  • Bachelors degree in anydiscipline or equivalent.
  • At least two years ofspecialized experience and/or training in keeping medicalrecords.
  • Ability to deal with multiple issuessimultaneously (multitask) and move them all towards resolutionmeet goals and deadlines.
  • Computer literacy atintermediate level and a good understanding of MSOffice.
  • Previous experience in the Health CareIndustry.
  • Previous experience in a similarrole.
  • Ability to perform routine taskscompletely and accurately.
  • Good communicationskills must be fluent in English (speak readwrite).
  • Able to work independently within setguidelines.
  • Ability to maintain patientconfidentiality.
  • Good attention todetail
