Dubai, United Arab Emirates UAS International Trip Support Full time

Job purpose: Support, manage and implement solutions to constantly improve service levels and performance of the travel department.

Key Duties & Responsibilities:

• Responsible for the management of existing and the negotiation of new corporate agreements with third party associates to drive competitive rates/fares, additional benefits and waivers and favors.

• Continuously source new vendors to enhance efficiency, service delivery and profitability.

Arrange regular sight inspections/training opportunities with new trade suppliers and promote attendance of the team at trade events.

• Manage internal and external customer requests from beginning to end through the arrangement of airline tickets, reservation of accommodation, transportation, visas, meet and assist and other concierge services.

• Provide customers with quotations in accordance with the client's travel policy, ensuring that accurate information is provided at the most optimal rates possible.

• Provide customers with all relevant information and documentation pertaining to their travel arrangements and the destination, including but not limited to the political and economic environment, major events taking place and specialty requirements for groups.

• Implements quality assurance procedures and checks in compliance with the ISO 9001:2008 requirements.

• Facilitate surveys and liaise with travelers on a regular basis to understand improvement opportunities.

• Investigate and resolve any Customer complaints in a professional and timely manner.

• Attend industry events as a representative of UAS, promoting and marketing the business

• Oversee the smooth and efficient running of the travel team by providing guidance, support and coaching to staff members in a drive for service excellence.

• Constantly motivate the team to perform at the highest level of service excellence whilst continuously driving profitability

• Communicate and Manage performance expectations of the team by communicating clearly specified KPA's, tasks and responsibilities.

• Address and resolve any non-performance or disciplinary matters that may arise in an efficient and professional manner.

• Ensure that the team operates in full compliance to customer travel policy's as well as the UAS policy and the UET team processes.

• Conduct regular office meetings with the team to discuss strategy, important trends and developments, changes, updates, case studies and any other matters that may arise.

• Frequently meet with company directors to stay updated on new trends and strategies that may affect the daily operations of the UET team.

• Manage the overall capacity of the team and ensure that all work is distributed to promote maximum efficiency.

• Manage the employee hiring process and the facilitation of the on-boarding/orientation of new employees to ensure a seamless integration into the team.

• Identify training needs and implement/arrange training with new hires and the existing team to ensure that all team members have the necessary skills and knowledge to perform as per the expectations communicated to them.

•Create Ethical, non-discriminatory and safe working environment with effective communication lines.

• Review and approve the monthly work rosters.

• Ensures periodic review of the company's travel policy and procedures and suggest/implement improvements whilst monitoring compliance.

• Ensure that all internal and external databases including but not limited to suppliers, employees and customers are updated at all times.

• Identify and resolve any problems that relates to the overall functioning of the team, interactions with suppliers and other UAS departments.

• Identify sales and cross selling opportunities for the growth of the department.

• Oversee accurate billing and account procedures are followed by providing timely/relevant information to the finance department for the accurate billing of customers as well as the payment of suppliers.

• Effectively manage the profitability of the team by identifying opportunities for cost saving and increasing of profit margin
