The Research & Innovation Center for Graphene and 2D Materials (RIC2D) at Khalifa University, Abu Dhabi is seeking an experienced Operations Manager. This is an exciting opportunity for an individual who wants to be part of the ecosystem in Abu Dhabi leading advanced materials to industry through innovation, research and collaboration.

We are seeking a professional individual who can ensure the smooth running of an ambitious center by leading all operations, administration & support service-related activities across may aspects. Skills must include management of finance, HR, processes, people, reporting, efficient operations and the ability to confidently balance numerous demands simultaneously. Applicants will naturally be forward thinking and contribute to the strategic vision of RIC2D.

Job Purpose

A world-class research and innovation center (RIC2D) has been established at Khalifa University, Abu Dhabi, focusing on the science and engineering of graphene, other two-dimensional (2D) materials and derived products. The center provides a complete ecosystem to accelerate the development, application and commercialization of 2D materials.

The Center strategically invests its resources (such as in research projects, commercialization activities and human capacity building for students, staff and industry partners) to achieve its objectives. Areas of functional responsibility for the role are expansive and include recruitment, budget management, events, reporting, collaborative activities, liaising with partners and engagements with sponsors.

This position works closely with other professional services within the University (Research Services, University Sponsored Research, Provosts Office, Human Resources, Finance, Procurement, Student Services etc.) and at partner institutions to ensure that research & innovation are supported effectively. This role is fundamental in the establishment of RIC2D as a flagship activity in Abu Dhabi, the UAE and globally. The post holder provides a professional representation of the Center to senior executives and stakeholders.

Operational Responsibilities

  • Assume responsibility for the day-to-day operational management of RIC2D, including staffing, fiscal management and administration to ensure efficient running of the resources to meet all RIC2D activities.
  • To co-ordinate the development and implementation of the overall strategy with the Senior Director
  • Act as the primary point of contact for operational activities and delegate tasks to sub-ordinates as required.
  • Manage a team of three direct reports (Operations Senior Specialist, Finance Specialist and Communications Specialist).
  • Responsible for the coordination of Center activities in conjunction with the relevant university internal departments (University Sponsored Research, Office Research Services, Provost office, Human Resources, Finance, Procurement, Marketing & Communications etc.)
  • Oversee the RIC2D website and social media profile through the line management of the Communications Specialist.
  • Act as custodian of RIC2D’s KPIs and report to Senior Management on a timely basis the outcomes of the various elements.
  • Overall responsibility for the development and maintenance of all appropriate databases and records of activities, ensuring creation of necessary program and project documentation, including final project reports.
  • To assist with the recruitment of staff and researchers including preparing job descriptions in conjunction with line managers.
  • Work with the RIC2D Finance Specialist to manage budgets and produce financial reports relating to activities in RIC2D. Ensure management and budget holders receive appropriate and timely financial reporting.
  • Responsible for organizing, attending, and minuting Senior Management Board and Sub-committees, contributing to the decision-making where appropriate, and compiling and circulating related documents. Other committee support as required.
  • Overall responsibility for organizing and administering internal and external seminars, workshops, meetings, conferences, and other events as and when required.
  • Oversee the harvesting of project output data, return on research investment metrics and KPI status providing recommendations to the Senior Director and Senior Management Board to ensure projects are achieving their maximum impact.
  • Work closely with the other research offices (Research Services, Technology Management & Innovation, Research Labs and Research Computing) to ensure alignment where necessary.
  • Ensure the operational effectiveness and efficiency of awards & collaboration processes, including identifying and implementing process improvements.
  • Facilitate the smooth flow of processes and approvals, ensuring adherence to all institutional policies and audit requirements.
  • Manage the workload allocation of team members in line with the Center’s needs to best maximize office resources considering the ebb and flow of work life.
  • Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly.

Supervisory Responsibilities

  • Provide coaching, guidance and mentoring as required to enhance the internal capabilities of the team and ensure the achievement of established objectives and plans.
  • Recommend appropriate training courses as per the pre-determined training needs, evaluate their effectiveness, and monitor their results.
  • Carry out performance appraisals for subordinates according to planned schedules and recommend necessary actions as per the applied practices.
  • Conduct periodic meetings with subordinates to ensure that priorities are clear and workflow is running smoothly.
  • Follow-up on employees' administrative affairs such as vacations, leaves, and other administrative and related affairs

Qualifications

Required Minimum Qualifications

  • Bachelor's Degree in Business Management or Management Subjects
  • Experience in working with high value, international, multi-partner projects within a commercial and research-intensive environment such a university, research institute, or national lab testing.
