The Receptionist is responsible for providing a professional welcoming and customer-focused first point of contact for visitors employees students and external stakeholders The role manages front-desk activities incoming communications visitor enquiries appointments deliveries and general administrative support while ensuring a positive and professional experience The Receptionist is expected to demonstrate excellent customer service communication organization confidentiality and professionalism at all times and contribute to maintaining a positive image of the organization
Key Responsibilities
- Welcome visitors guests employees students and external stakeholders in a professional courteous and helpful manner
- Manage the reception area and ensure it is maintained in a professional organized clean and welcoming condition
- Receive screen and direct incoming telephone calls and enquiries to the appropriate departments or employees
- Provide general information and assistance to visitors and respond appropriately to enquiries in a timely and professional manner
- Coordinate visitor access appointments meeting arrangements and related requirements in accordance with organizational procedures
- Maintain accurate visitor records and support applicable access identification and security requirements
- Receive record and distribute incoming correspondence documents deliveries courier items and other materials as required
- Support the coordination and booking of meeting rooms and other shared facilities
- Provide general administrative and clerical support including document preparation filing data entry scanning photocopying and record maintenance
- Assist with the coordination of appointments meetings schedules and other administrative activities when required
- Liaise with internal departments to ensure visitors enquiries requests and communications are directed and supported appropriately
- Maintain up-to-date contact information telephone directories visitor information and relevant reception records
- Support organizational events meetings activities and special occasions where reception or administrative assistance is required
- Handle confidential or sensitive information appropriately and maintain professional discretion at all times
- Follow organizational policies procedures health and safety requirements and visitor-management protocols
- Report reception facility visitor security or operational issues to the appropriate department or responsible person when required
- Monitor the reception area and elevate unusual or security-related situations in accordance with established procedures
- Contribute to maintaining a positive professional and customer-focused organizational image
- Perform other related administrative duties within the scope of the position as assigned by the line manager
Qualifications & Experience:
- Diploma or Bachelor s degree in Business Administration, Office Administration, Customer Service, or a related field.
- Minimum of 2 years of relevant experience in reception, front-office administration, customer service, or a similar role.
- Experience within the education, government, or public sector would be an advantage.
- Good proficiency in Microsoft Office applications and general office systems.
- Strong written and verbal communication skills in both Arabic and English.
- Experience handling visitors, enquiries, appointments, telephone calls, deliveries, and general administrative activities is preferred.
