Our goal is to make every event outstanding and help businesses promote themselves through destination events.
Role Description
This is a contract role for an Events Co-ordinator based in Dubai, United Arab Emirates. The Events Co-ordinator will be responsible for event planning, communication, customer service and event management. This is an on-site role that involves coordinating various aspects of events to ensure their success.
Major Accountabilities:
· Co-ordinate the deliveries of event collateral from creative agencies, printers, sponsors etc.
· Set up & manage registrations tables at the events
· Brief & manage hostesses hired for the event. Training & managing hostesses, ushers on their tasks at the events.
· Co-ordinate with hotel staff to ensure that the F&B is as per order, sufficient banqueting and service staff are available, service is being set up & completed at speed & as per schedule provided.
· Managing VIPs- seating, F&B service, queries, complaints etc.
· Co-ordination with the hotel for room reservations, boarding & lodging for event speakers & VIPs.
· Sending out invitations, forms, confirmations etc. to customers & prospects. Capturing & data entering RSVP responses, guests' lists, delegate lists, speaker lists, VIP lists etc.
· Calling on prospects database to provide them information about the event, emailing marketing material to prospects & following up for confirmation
· Editing & updating data points in the database for each event
· Ensuring the all the branding of sponsors etc. is set up & in place at the event
· Following the event program & running order accurately at the event.
· Ensure that all tasks delegated are completed within timeline set
· Ensure that the relevant awards, certificates etc. are handed over respectively to the winners, finalists, delegates, speakers etc.
· Follow up with photographers, videographers to deliver the photos & videos of the events within the TAT
· Upload selected images, videos on the social media platforms created for the event
Qualifications
- Event Planning and Event Management skills
- Strong Communication and Customer Service abilities
- Excellent organizational and time management skills
- Attention to detail and problem-solving skills
- Ability to work well under pressure and meet deadlines
- Knowledge of the MICE industry is a plus
- Proficient in MS Office- Word, Excel & PowerPoint
- Bachelor's degree in Event Management, Hospitality, Marketing, or related field
