The Facilities Management Administrator / Coordinator is responsible for overseeing the daily operations, maintenance, and administrative functions of the company's property portfolio. This role ensures that all facilities are safe, efficiently maintained, and fully compliant with company policies and regulatory standards. The position also serves as a key liaison among tenants, service providers, and the technical team to ensure smooth and efficient facility operations.

Key Responsibilities:

  • Coordinate and monitor daily maintenance activities, including HVAC, electrical, plumbing, and mechanical systems.
  • Plan and track preventive and corrective maintenance with internal teams and external contractors.
  • Maintain accurate documentation of assets, maintenance work, and service reports.
  • Coordinate tenant move-in and move-out activities, including property inspections and condition reports.
  • Conduct regular site inspections to ensure facilities are in optimal condition and address maintenance issues promptly.
  • Handle invoice collection, verification, and submission with all required supporting documents.
  • Liaise with vendors and service providers to ensure timely and high-quality service delivery.
  • Monitor subcontractor performance and confirm proper completion of assigned works.
  • Ensure all facilities adhere to health, safety, and environmental standards.
  • Assist in preparing maintenance reports, purchase requests, and tracking operational budgets.
  • Support the Facilities Manager in documentation, permit applications, and compliance processes.

Qualifications and Experience:

  • Bachelor's degree or diploma in Engineering, Facilities Management, Information Technology, or a related field.
  • 3–5 years of experience in facilities coordination, property management, or maintenance administration.
  • Strong knowledge of building systems (HVAC, electrical, plumbing, and mechanical).
  • Excellent organizational, communication, and reporting skills.
  • Proactive and detail-oriented, with the ability to manage multiple tasks effectively.
  • Willingness to conduct site visits and coordinate with external service providers as required.
