Role Summary

The Commercial Coordinator supports the Commercial Department in managing proposal submissions, contract documentation, CRM updates, and commercial standards. This role ensures the accuracy, organization, and timeliness of all commercial materials and serves as a key link between the commercial, accounts, and consulting teams.

Key Responsibilities

Proposal & Documentation Management

  • Prepare proposal documents following company templates or client-specific RFP requirements.
  • Create and update annexes and supporting materials submitted with proposals.
  • Develop, update, and maintain commercial materials including company profiles, capability statements, service decks, and case studies.
  • Ensure all commercial documentation is accurate, well-structured, and aligned with Forsite Creative's brand and quality standards.
  • Respond to prospect client inquiries professionally, clearly, and in a timely manner.

CRM & Administrative Support

  • Manage all CRM activities in Zoho, ensuring client and project information is accurate and up-to-date.
  • Maintain organized and accurate records of commercial transactions, proposals, and project documentation.
  • Support the development of guidelines, templates, and document standards for the Commercial Department.
  • Assist with coordination of design award submissions, including gathering material and preparing documentation.

Contracts & Project Handover

  • Assist in drafting, reviewing, and preparing contracts—including sub-consultant agreements, variations, and addendums.
  • Work closely with the Commercial Manager on contract-related tasks and ad-hoc commercial assignments.
  • Coordinate with accounts and consulting teams to ensure a complete and smooth handover of awarded projects.

Candidate Profile

Must-Haves

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple deadlines and work in a fast-paced environment.
  • Professionalism when interacting with clients and internal stakeholders.

Great to Have

  • Experience with Zoho CRM.
  • Previous experience in a similar role (proposals, submissions, contract support, commercial documentation).
  • Experience working within the hospitality, F&B, design, or consultancy sectors.
  • Exposure to hospitality-related services (Concept Design, Kitchen Design, Interior Design).
  • Immediate availability.
