Position Overview

We are seeking a highly capable and detail-oriented
Head of Estimation & Invoicing – Ship Repair
to lead the Estimation and Proposals team. This role oversees daily departmental operations, ensures timely and accurate proposal submissions, and acts as a key commercial interface with clients. The ideal candidate will supervise estimators and proposal engineers, manage commercial documentation, support project teams, and drive accurate invoicing and revenue capture in alignment with organizational guidelines and approvals.

Key Responsibilities

• Receive enquiries from the Commercial Manager or clients, evaluate scope, and assign an estimator or proposals engineer accordingly.
• Communicate with clients to clarify technical details and gather complete information.
• Review estimates and proposals prepared by the team and escalate for final approval as per LOA (Levels of Authority).
• Upon contract award, review purchase orders and project contracts to verify scope, terms, and conditions against submitted proposals.
• Prepare job release documentation; review and issue job cards to Project Engineers/Planning.
• Assign a responsible estimator or proposals engineer to follow ongoing projects, ensuring variation orders and final invoicing are completed accurately and on time.
• Review variation orders and proforma invoices to confirm correct revenue capture; submit to clients after obtaining required approvals.
• Monitor project status and ensure commercial records are updated and maintained in line with QMS procedures.
• Prepare and review monthly invoices and provide accurate billing data to the Finance Department.
• Prepare monthly KPI reports and submit them to the Commercial Manager.
• Generate monthly sales reports for CM/GM approval.
• When required, prepare estimates and proposals directly in line with departmental responsibilities.

Qualifications & Experience

Education:

• Degree or Diploma in Marine, Mechanical, or Electrical Engineering.

Experience:

• 10–15 years of relevant experience in estimation, proposals, or commercial functions within ship repair or related industries.

Skills & Knowledge:

• Strong understanding of estimation, proposals, and ship repair processes.
• Excellent communication and client-handling skills.
• Strong analytical, commercial, and documentation skills.
• Proficiency in MS Office.
• Ability to coordinate with internal teams and ensure accurate revenue capture.
• Familiarity with QMS procedures and commercial reporting.
