Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems with confidence, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Handle incoming correspondence, including emails, mail, and deliveries, with efficiency and attention to detail.
  • Maintain a clean, organized front desk area and ensure all office supplies are stocked and accessible.
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office applications.
  • Perform data entry tasks such as updating records in QuickBooks or other office management software with precision.
  • Assist with clerical duties including filing, proofreading documents, and managing paperwork to support office operations.
  • Support administrative tasks like calendar management, appointment confirmations, and basic bookkeeping responsibilities.
  • Provide exceptional customer support by addressing inquiries promptly and professionally across various communication channels.
  • Collaborate with team members to streamline office procedures and improve overall efficiency.
  • Handle confidential information discreetly while ensuring compliance with company policies.

Requirements

  • Proven experience in office management or as a front desk receptionist within a professional environment.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
  • Demonstrated experience using multi-line phone systems and managing phone etiquette professionally.
  • Bilingual abilities are a plus to serve diverse client needs effectively.
  • Previous clerical or administrative experience preferred; familiarity with bookkeeping or QuickBooks is advantageous.
  • Exceptional customer service skills with a friendly demeanor and positive attitude.
  • Strong typing skills along with attention to detail for proofreading documents accurately.
  • Knowledge of medical or dental receptionist duties is beneficial but not required; willingness to learn is essential.
