Job Summary
The Property Administrator is responsible for providing administrative, operational, and coordination support to ensure the efficient management of residential, commercial, co-living, or holiday home properties. The role acts as a key link between tenants, owners, service providers, and internal teams, ensuring compliance, smooth operations, and high service standards.
Key Responsibilities
Administrative & Operational Support
- Maintain accurate records of properties, tenants, leases, contracts, and correspondence.
- Prepare tenancy agreements, lease renewals, addendums, NOCs, and move-in/move-out documentation.
- Coordinate property handovers, inspections, snag lists, and defect rectifications.
- Manage filing systems (digital and physical) in line with company policies.
Tenant & Owner Coordination
- Act as the first point of contact for tenants and owners for routine inquiries.
- Coordinate resolution of tenant complaints, maintenance issues, and service requests.
- Monitor lease expiry dates and support renewal or vacation processes.
- Assist with tenant onboarding, orientation, and property rules communication.
Maintenance & Vendor Coordination
- Log maintenance requests and coordinate with FM teams, contractors, and suppliers.
- Track work orders, service reports, and completion timelines.
- Verify invoices against completed works and forward for approval.
- Monitor service contracts (cleaning, security, pest control, landscaping, etc.).
Financial & Documentation Support
- Assist with rent collection tracking, service charge records, and payment follow-ups.
- Prepare basic reports related to occupancy, arrears, and maintenance costs.
- Support budget tracking and expense documentation for assigned properties.
Compliance & Regulatory Support
- Ensure compliance with local regulations (Ejari, RERA, municipality guidelines, holiday home regulations, etc.).
- Support audits, inspections, and authority requirements as needed.
- Ensure properties adhere to health, safety, and operational standards.
Qualifications & Skills
Education
- Bachelor's degree or diploma in Business Administration, Real Estate, Facilities Management, or a related field preferred.
Experience
- 2–5 years of experience in property administration, real estate, facilities management, or leasing support.
- UAE real estate or property management experience is an advantage.
Skills & Competencies
- Strong organizational and documentation skills.
- Excellent communication skills in English (Arabic is an advantage).
- Proficiency in MS Office; experience with property management systems is a plus.
- Ability to multitask, prioritize, and work under deadlines.
- Customer-focused with strong problem-solving skills.
